Job Summary
Watkins is looking for an Office Manager to support the Omaha facility. This person will direct and coordinate activities of employees engaged in administrative and accounting support. Must abide by Company Safety Program and Policies, while performing duties safely. Occasional Saturdays will be required. This is a confidential employee and must be able to safeguard information that is deemed confidential by the company and management.

Essential Duties and Responsibilities include, but are not limited to, the following.

Provides leadership and performs a broad range of supervisory responsibilities over administrative support staff, including one JAC, Office Administrator, and Receptionist.

Provides guidance to all employees of company admin processes, procedures and policies.

Develops and trains employees to achieve high-quality customer service work performance and satisfaction; motivates the team to achieve company goals and quickly resolve customer issues and concerns.

Develops and implements operating methods and procedures designed to eliminate operating problems.

Responsible for maintenance and repair needs of the office building.

Assists General Manager with special projects as needed.

Credit Review & Support:
  • Support the Credit Department with debt collection of accounts receivable according to department standards.
  • Responsible for the initial review and verification of information on the credit application.  Gather the appropriate banking and supplier reference information and business project needs request to complete the application for review and approval by the Credit Manager.  Assure appropriate management sees the final package before sending it to Credit.

Payroll/Accounting Support:

  • Understand and communicate basic payroll functions and processes.  Provide backup for processing confidential payrolls.
  • Process invoices for accounts payable according to department standards with appropriate signatures and submit for processing.

Human Resources Support: 

  • Communicates and collaborates with NEBCO Corporate HR Team to assist in various HR related processes. 
  • Provides new employee orientation, including explanations of benefits and company policies.
  • Assist employees in the enrollment of insurance programs and assure sign up information is submitted according to standards established through Payroll & Benefits department.
  • Oversees the maintenance of personnel records, assuring accuracy, compliance and confidentiality.

Education and/or Experience:  

  • Associates Degree in Office Administration, Accounting, or related field; and
  • 2 years of related work experience; or
  • equivalent combination of education, training, and experience. 

Certificates, Licenses, Registrations:

  • Valid driver's license and be insurable with the company driver policy.

Computer Skills:  
To perform this job successfully, an individual must have proven working computer knowledge on Microsoft Word and Excel software at an intermediate level.  Previous experience on accounting software package is highly desirable.

Other Skills and Abilities:

  • Previous work experience in a construction environment would be very helpful.
  • Must be able to maintain a high degree of confidentiality. 
  • Must be able to apply concepts of basic accounting and have excellent numerical skills with a high degree of attention to detail. 
  • Ability to handle multiple projects, concurrently, timely and efficiently. 
  • Organizational skills required.
  • Must be able to produce high quality, accurate work while coordinating a business environment.
  • Must be skilled in solving problems with good workable solutions. 
  • Must be flexible regarding work schedule and be able to meet the attendance demands of a small office.
  • Ability to read, comprehend, and write instructions, correspondence, and memos. 
  • Ability to effectively present information in one-on-one and small group situations to employees of the organization.
