Position Summary

The Donor Relations & Stewardship Officer is a key member of the Fund Development & Alumni Engagement (FDAE) team, reporting to the Lead, Donor Relations and Stewardship. This dynamic and detail-oriented role supports the planning, coordination, and execution of donor relations, stewardship initiatives, and signature fundraising and alumni events that strengthen relationships with donors, alumni, students, and community partners. The successful candidate provides exceptional administrative, event, and project coordination support while ensuring the timely delivery of donor recognition activities, stewardship communications, impact reporting, and personalized donor engagement initiatives.

The Donor Relations & Stewardship Officer coordinates all aspects of FDAE signature events, including venue bookings, audiovisual requirements, catering, photography, videography, parking, volunteer coordination, guest registration, event communications, and on-site logistics. Working collaboratively with internal departments and external vendors, the incumbent manages invitation lists, event registrations, mail merges, name tags, seating plans, promotional materials, donor recognition items, and post-event reporting. They provide leadership for assigned event components, troubleshoot issues during event execution, and ensure every event reflects the College's commitment to exceptional donor and stakeholder experiences.

This role also supports donor stewardship initiatives by coordinating donor acknowledgements, producing stewardship materials and impact reports, organizing donor recognition activities, and assisting with personalized stewardship plans. The incumbent prepares and distributes donor-facing communications, manages the production and distribution of print and digital stewardship materials, coordinates smaller donor engagement events, and works closely with colleagues to ensure donors receive timely, meaningful, and personalized recognition for their contributions.

As a key administrative resource, the Donor Relations & Stewardship Officer manages the FDAE Events inbox, maintains the events calendar, schedules meetings, coordinates mailings, prepares correspondence and briefing materials, manages promotional inventory, and oversees the procurement of event supplies and services. The incumbent builds productive relationships with approved vendors by obtaining quotes, coordinating purchases, processing Purchase Service Requests (PSRs), tracking invoices, and ensuring all internal work order requirements are completed in accordance with College policies and procedures.

The position plays an important role in maintaining the integrity of donor and event data by collaborating with FDAE team members to ensure constituent records are accurate, complete, and up to date within the College's database. Responsibilities include preparing data requests, maintaining detailed Excel spreadsheets, tracking event participation, preparing monthly gift reports, coordinating the upload of donor reports and stewardship documentation, and supporting reporting requirements that inform decision-making and demonstrate the impact of donor engagement activities.

Minimum Qualifications

  • Diploma in Event management and/or fund development.

  • 2-4 years of related experience.

  • An equivalent combination of directly related education and experience may be considered

Preferred Qualifications

  • Event coordination experience
