At Step One Automotive Group, our first priority is always our customers and our team. Because of this, the Receptionist’s job function is to primarily answer phone calls and direct customers to the correct department or person when they need assistance. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Duties/Responsibilities·  

  • Serve as the first point of contact for guests and visitors, providing a professional and welcoming front desk experience  
  • Manage incoming calls and direct inquiries to the appropriate departments or team members   
  • Support day-to-day office operations to ensure an organized, efficient, and professional work environment 
  • Coordinate mail, packages, and deliveries, ensuring timely distribution and outgoing shipments (FedEx, etc.) 
  • Assist with scheduling, coordination, and general administrative support across departments 
  • Support Customer Experience (CX) initiatives, including monitoring and routing customer feedback and reviews 
  • Assist in managing customer escalation processes in alignment with company standards 
  • Track and follow up on open customer issues to ensure timely resolution and communication with leadership 
  • Assist with coordination and execution of Shared Services projects and initiatives across locations 
  • Support tracking, ordering, and scheduling of supplies, services, and vendor-related needs 
  • Help maintain company records and documentation related to shared services activities 
  • Assist with expense tracking and submission for Shared Services purchases 
  • Support the coordination and maintenance of emergency contact information and related records 
  • Monitor and report facility-related concerns (e.g., cleanliness, maintenance) to appropriate vendors or internal teams 
  • Coordinate travel arrangements and logistics for team members as needed 
  • Provide administrative and operational support to leadership and cross-functional teams as needed 
  • Assist with special projects and additional responsibilities as assigned to support business needs
  • Maintains a professional appearance. 
  • Other tasks as assigned. 

Required Skills/Abilities

  • Excellent communication and customer service skills.
  • Bi-lingual is always a plus.
  • Strong computer & phone skills.
  • Professional appearance and work ethic.
  • Self-motivated, goal oriented, and ability to work within a fast-paced environment.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Microsoft Office Suite or related software.
  • Must have the ability to sit for long hours while working from a desktop computer, phone system, and various dealership specific software. 
  • Must have ample dexterity to bend, reach, stretch, sit, stand, type, and lift up to 20 pounds.

Education and Experience

  • High school diploma or equivalent
  • Two to four years related experience and/or training preferred.
  • Must be able to pass a background check, drug screen, and Motor Vehicle Report.
