Job description

As our Intake Coordinator, you are the crucial first link between potential clients and our legal team. You will set the tone for the client experience, managing incoming inquiries with empathy while keeping our administrative and client onboarding processes running seamlessly.


Responsibilities include:

  • greeting clients and guests in a warm professional manner.
  • Answering multi-line phones, screen potential client inquiries, gather essential case details, and route calls appropriately.
  • Guiding new clients through the intake workflow, gather required documentation, and maintain accurate records in our case management system.
  • Handling incoming/outgoing mail, deliveries, and legal correspondence; manage front office organization and supplies. Handle incoming and outgoing mail and packages.
  • Assist attorneys and paralegals with scheduling, basic filing, and general administrative tasks as needed.
  • Using Clio manage for intake process and utilizing features to track, store information, communicate with clients and generate forms
  • Prepare contracts of representation
  • obtaining client records
  • maintain calendar on all consultations and confirming of appointments
