What You'll Do

As our Staffing Administrator, you'll help keep our office running smoothly while creating a welcoming experience for candidates and clients.

Responsibilities include:

  • Greet walk-in applicants and serve as the first point of contact for visitors, phone calls, text messages, and emails.
  • Guide candidates through the onboarding process, including completing applications, collecting required documents, coordinating drug screens, and ensuring all hiring paperwork is complete.
  • Schedule and confirm interviews, orientations, and start dates while following up with candidates who miss appointments.
  • Maintain accurate candidate records in Avionté and Bold by documenting communications, uploading documents, and ensuring compliance.
  • Support recruiters with administrative tasks such as employment verifications, background screening paperwork, reference checks, and candidate file management.
  • Assist with recruiting efforts by sending text campaigns, making outbound calls, posting jobs, and supporting social media recruiting initiatives.
  • Help maintain a positive office environment by keeping the front office organized and ensuring every candidate has a great experience.
  • Work closely with recruiters to allow them to focus on interviewing candidates, building client relationships, and filling open positions.

Preferred Qualifications

  • Administrative, staffing, recruiting, customer service, or office experience preferred.
  • High school diploma or equivalent required.
  • Experience with Microsoft Office (Outlook, Word, Excel).
  • Experience with an ATS software such as Avionté is a plus, but we're willing to train the right person.

PHYSICAL REQUIREMENTS

  • Prolonged periods of sitting at a desk, working on a computer and standing/walking as needed.
  • Must be able to lift up to 15 pounds at times.
