Job description

The Accounting Clerk - Program Support is responsible for administering the Representative Payee/Personally Managed Funds (PMF) accounts, ensuring accurate management of individual accounts in compliance with all government regulations and internal policies. This role collaborates across departments to facilitate financial processes, prepares monthly, quarterly, and as needed reports for management, and submits annual Representative Payee reports to the Social Security Administration. Performs functions related to programmatic financial information of individuals supported.

POSITION RESPONSIBILITIES

1. Maintains Representative Payee/ PMF Account:

a. Receive and record individual entitlement checks, paychecks, and other income in the agency's ERP system.

b. Collaborate with multiple departments to manage, enter, and process payments (via check and ACH) to individuals and vendors on a regular basis.

c. Manage the distribution of personal allowance for individuals in the residential program to assure availability of funds and monitors balance for compliance with SSA regulations.

d. Prepare monthly rent payments, reports, and invoices for individuals served including monitoring rent calculations.

e. Reconcile persons' receiving services benefit deposits to the individuals' accounts.

f. Reconcile individual account balances to the pooled PMF Account balances.

g. Prepare and submit annual Representative Payee reports to the Social Security Administration as needed; respond to SSA inquiries and resolve related issues.

h. Other Representative Payee duties as required to maintain individual accounts including but not limited to NFTA Monthly bus passes, etc.

2. Responsible for functions related to Supplemental Nutrition Assistance Program (SNAP).

3. Prepares daily cash deposit log.

4. Prepares Residential clothing checks and monitor use of payments.

5. Support the Accounts Payable team by entering invoices, preparing reports, and other tasks assigned.

6. Perform routine and specialized data entry, document preparation, and filing of financial reports and records.

7. Complete other related duties as assigned.

This position does not have supervisory responsibilities.
