Position Specific Description

The Senior Business Analyst, IT Workspace Planning & Employee Experience is responsible for leading strategic analysis, workspace planning, business process improvement, and data-driven decision-making across the Information Technology organization. This role serves as a key partner to IT leadership, Corporate Real Estate (CRE), Facilities, HR, and Finance to optimize workspace utilization, support organizational growth, enhance employee experience, and ensure effective governance of IT workspace resources.

The position combines business analysis expertise with workspace portfolio planning, helping leaders make informed decisions regarding capacity management, future growth, workplace investments, space allocations, and organizational effectiveness. The Senior Business Analyst provides actionable insights, develops reporting and analytics solutions, leads projects, and drives continuous improvement initiatives that support IT's operational and strategic objectives.

Key Responsibilities:

Strategic Workspace Planning

  • Lead IT workspace planning efforts, including capacity analysis, utilization reviews, occupancy forecasting, and allocation planning.
  • Develop recommendations for workspace optimization, neighborhood strategies, relocation planning, and future growth requirements.
  • Partner with CRE, Facilities, and business leaders to support workspace projects, renovations, expansions, and organizational moves.
  • Maintain visibility into workspace inventory, utilization metrics, and capacity constraints across multiple locations.
  • Support future-hire planning and workspace readiness for onboarding and organizational growth.
  • Analyze trends and identify opportunities to improve employee experience through workplace design and space utilization.

Business Analysis & Process Improvement

  • Lead requirements gathering, process mapping, and business process improvement initiatives.
  • Analyze complex business challenges and develop data-driven recommendations.
  • Facilitate workshops, stakeholder interviews, and working sessions to identify improvement opportunities.
  • Design and document current and future-state business processes.
  • Support Lean, Six Sigma, and continuous improvement initiatives across IT operations.
  • Develop business cases, cost-benefit analyses, and implementation roadmaps.

Data Analytics & Reporting

  • Develop dashboards, reports, scorecards, and executive presentations using Power BI and Microsoft 365 tools.
  • Analyze workspace utilization, employee engagement, operational performance, and business metrics.
  • Establish KPIs and reporting frameworks to measure workspace effectiveness and business outcomes.
  • Present findings and recommendations to senior leadership through concise executive communications.
  • Provide forecasting, trend analysis, and scenario planning to support strategic decision-making.

Project Leadership

  • Lead cross-functional projects related to workspace planning, employee experience, operational effectiveness, and technology adoption.
  • Coordinate stakeholders, timelines, deliverables, risks, and communications.
  • Ensure projects align with strategic priorities, budget expectations, and organizational objectives.
  • Monitor implementation progress and measure realized benefits.

Governance & Stakeholder Management

  • Serve as a trusted advisor to IT leaders on workspace planning, capacity management, and operational strategy.
  • Establish governance processes for workspace allocation, exception management, and planning standards.
  • Collaborate with IT, HR, Facilities, CRE, Finance, and business leaders to align workspace decisions with business priorities.
  • Develop executive-level reports and recommendations regarding workspace investments, portfolio health, and organizational readiness.
  • Ensure compliance with workspace planning standards, safety requirements, and organizational policies.

Preferred Qualifications:

  • 5+ years of experience in business analysis, operational consulting, workforce planning, workspace planning, facilities planning, project management, or related disciplines.
  • Strong analytical, problem-solving, and critical-thinking skills.
  • Experience developing executive presentations, dashboards, and business recommendations.
  • Advanced proficiency with Microsoft 365 applications and Power BI.
  • Excellent communication, facilitation, and stakeholder management skills.
  • Demonstrated ability to lead cross-functional initiatives and drive organizational change.
  • Experience with workspace planning, occupancy analysis, facilities management, or real estate portfolio management.
  • Knowledge of workplace management systems such as TRIRIGA or similar platforms.
  • Lean Six Sigma Green Belt, PMP, CBAP, or related certification.
  • Experience supporting large enterprise organizations and hybrid workplace environments.
  • Familiarity with organizational design, workforce planning, and employee experience programs.
