How You'd Spend Your Day in a Private Psychiatric Practice

• Serve as the first point of contact for patients, creating a welcoming and supportive environment while gathering and communicating patient needs and concerns with professionalism and discretion.

• Collaborate closely with the psychiatrist to manage patient records, triage incoming calls, and accurately document clinical concerns and medication refill requests in the Electronic Health Record (EHR) system.

• Warmly greet patients, check them in and out, verify registration forms and identification, and process payments with efficiency and care.

• Promote a compassionate, respectful experience for all patients, ensuring a calming and organized front office environment.

• Maintain a high standard of professionalism and confidentiality in compliance with HIPAA and office policies.

• Answer, screen, and document phone calls, take accurate messages, and assist with coordinating follow-ups and provider communication.

• Confirm appointments, manage rescheduling, and follow up on no-shows to ensure consistent continuity of care.

• Coordinate prescription prior authorizations with pharmacies and insurance providers.

• Operate standard office equipment including scanner, copier, and fax machine, and assist with basic administrative duties that support smooth office operations.

Receive on-the-job training in Transcranial Magnetic Stimulation (TMS) and Spravato (esketamine) therapy protocols, gaining exposure to innovative treatment options and enhancing your role within the practice.

Requirements

• High school diploma or equivalent (GED) required
• Basic Life Support (BLS) certification for Healthcare Providers (can be obtained after hire)
• Experience using Electronic Medical Records (EMR) and medical scheduling software preferred
• Prior experience in a behavioral health, psychiatric, or private practice setting is a plus
• Excellent interpersonal and communication skills, with a compassionate and patient-focused approach
• Strong organizational skills and the ability to multitask and work independently in a small, close-knit team environment
• Willingness to learn and participate in training related to TMS and Spravato treatments
