Cary Parks, Recreation & Cultural Resources Pickleball Coordinator

Cary Parks, Recreation & Cultural Resources is seeking a detail-oriented and organized individual to support the coordination of pickleball programming, including leagues, tournaments, and special events. This position works closely with the Pickleball Senior Program Assistant and Operations Supervisor at Middle Creek to assist with program logistics, record management, participant communications, and administrative support for all pickleball programs.

Key responsibilities include maintaining program records, assisting with scheduling and event logistics, supporting registration processes, and coordinating information among staff, instructors, and participants. This role helps ensure the smooth and efficient operation of pickleball programs by managing administrative tasks, facilitating clear communication, and ensuring instructors have the supplies and equipment necessary to deliver high-quality programs and events.

Flexible availability including some evenings is required depending on program schedules.

This is a part-time, non-benefited, year-round position, up to 20 hours a week, with a maximum of 999 hours per year.

Typical Tasks
  • Supports Pickleball programs, including tournaments, leagues, and special events, by assisting with preparation, activity management, and program coordination.
  • Maintains and updates spreadsheets while tracking revenues and participation data.
  • Monitors class enrollments, processes refunds, credits, and class cancellations, and communicates updates to instructors and community center staff.
  • Responds to 311 cases and handles participant requests in a timely manner.
  • Assists with tracking open gym attendance and preparing monthly reports and activity sheets.
  • Enters program information into RecTrac software by established deadlines and helps create promotional flyers in Canva, ensuring they are posted at facilities and courts.
  • Communicates regularly with instructors regarding deadlines and weekly schedules.
  • Organizes and maintains Pickleball supplies and equipment, communicates inventory and maintenance needs to supervisors, and ensures all equipment remains in proper working order.
  • Performs other job-related tasks as required.
Knowledge, Skills and Abilities
  • General knowledge of Pickleball rules, gameplay, and program operations highly desired.
  • Ability to remain organized and work independently.
  • Extensive knowledge of computers and related software
  • Ability to communicate effectively verbally and in writing
  • Ability to maintain and establish effective working relationships with others
  • Ability to understand and carry out verbal and written instructions
  • Knowledge of internet and web design
  • Ability to supervise other staff.
Minimum and Preferred Qualifications

Education and Experience: Any combination of education and experience equivalent to an associate's degree.

Preference will be given to candidates who possess any of the following:

  • Some prior knowledge or experience with pickleball or any other racquet-based sports
  • Some experience with Microsoft Office 365 (Outlook, Teams, Word, Excel)

Physical Requirements: Work in this class requires an employee to be able to hear and talk in order to communicate with the public and with groups under instruction. An employee must be able to climb, walk unassisted and move about freely in order to interact with patrons. Visual acuity is needed to read typewritten and handwritten materials and to view a computer terminal. Work in this class is primarily clerical and may require sitting and use of a computer for extended time periods.

Conditions of Employment: Requires possession of a valid driver's license with an acceptable driving record. Requires drug testing and background check (which may include criminal history check, SBI fingerprinting, motor vehicle records check, education verification and credit history review) and satisfactory reference checks prior to employment.
