WHO WE ARE


The World Anti-Doping Agency (WADA) was established in 1999 as an international independent agency to lead a collaborative worldwide movement for doping-free sport. As the global regulatory body, WADA's primary role is to develop, harmonize and coordinate anti-doping rules and policies across all sports and countries. Our key activities include: scientific and social science research; education; intelligence & investigations; development of anti-doping capacity; and, monitoring of compliance with the World Anti-Doping Program.


POSITION OVERVIEW


The Assistant, Results Management works closely with the other Assistant, Results Management, and the Coordinator, Legal Affairs.

The Assistant provides support, where required, to the General Counsel, the Director, Legal Affairs, the Associate Director, Results Management, and the Results Management Unit on any administrative or any results management-related matter.


MAIN CHALLENGES

  • Ability to independently organize and prioritize work, and to liaise with internal and external stakeholders as needed;
  • Manage of volume of diverse and complex tasks within a short timeframe.


KEY RESPONSIBILITIES


      • Provides administrative support to the General Counsel, the Director, Legal Affairs, and Associate Director, Results Management, such as agenda management, meetings and stakeholder communications as required;
      • Supports the Results Management Unit in implementing the Results Management database (RMC), in particular by entering data on this platform and compiling statistics upon request;
      • Manages departmental Inbox, flags/forwards queries to relevant team member(s);
      • Files correspondence, manage and organize records and files;
      • Ensures Data Entry and upload documents to the Results Management database;
      • Performs data searches, verifies data through source documents and prepares relevant reports as needed;
      • Coordinates travel arrangements with WADA Travel desk;
      • Contributes to other initiatives, as required.


      QUALIFICATIONS AND SKILLS

      • Legal Assistant Diploma, Certification or equivalent;
      • A minimum of three (3) years' experience in relevant role required;
      • Proficiency in Microsoft Office Suite, advanced skills in PowerPoint, Excel and Word required;
      • Excellent oral and written skills in one of the two WADA official languages (English/French) and very good command of the other official language; additional languages would be an asset;
      • High level of discretion and confidentiality;
      • Very precise and detail-oriented with strong organization and interpersonal skills;
      • Ability to work with minimal supervision and work under tight deadline;
      • Periodic work in the evening or on weekends;

      APERCU DU POSTE


      L'Assistant, Gestion des resultats travaille en etroite collaboration avec l'autre Assistant, Gestion des resultats et le Coordonnateur, Affaires juridiques.

      L'Assistant apporte un soutien, si necessaire, au Conseiller juridique general, au Directeur, Affaires juridiques, au Directeur associe, Gestion des resultats, et a l'unite de gestion des resultats pour toute question administrative ou liee a la gestion des resultats.


      PRINCIPAUX DEFIS

      • Capacite a organiser et hierarchiser de maniere autonome le travail, et a assurer la liaison avec les parties prenantes internes et externes selon les besoins;
      • Gerer un volume important de taches diverses et complexes dans un delai court.


      LES RESPONSABILITES CLES


      • Fournit un soutien administratif au Conseiller juridique general, au Directeur, Affaires juridiques, et au Directeur associe, Gestion des resultats, notamment en matiere de gestion de l'ordre du jour, de reunions et de communications avec les parties prenantes, selon les besoins;
      • Soutient l'unite de gestion des resultats dans la mise en uvre de la base de donnees de gestion des resultats (RMC), notamment en saisissant les donnees sur cette plateforme et en etablissant des statistiques sur demande;
      • Gere la boite de courriels du departement, signale/transmet les demandes aux membres concernes de l'equipe;
      • Classement de la correspondance, gestion et organisation des dossiers et des fichiers;
      • Assure la saisie des donnees et le telechargement des documents dans la base de donnees de gestion des resultats;
      • Effectue des recherches de donnees, verifie les donnees a l'aide des documents sources et prepare les rapports pertinents selon les besoins;
      • Coordonne les preparatifs de voyage avec l'equipe des voyages de l'AMA;
      • Contribue a d'autres initiatives, au besoin.


        LES QUALIFICATIONS ET LES COMPETENCES


          • Diplome d'assistant juridique, certification ou equivalent;
          • Au moins trois (3) ans d'experience dans un role pertinent requis;
          • Maitrise de la suite Microsoft Office, competences avancees en PowerPoint, Excel et Word requises;
          • Excellentes competences orales et ecrites dans l'une des deux langues officielles de l'AMA (anglais/francais) et tres bonne maitrise de l'autre langue officielle ; des langues supplementaires seraient un atout;
          • Haut niveau de discretion et de confidentialite;
          • Tres precis et soucieux du detail, dote d'un sens aigu de l'organisation et d'excellentes competences interpersonnelles;
