POSITION OVERVIEW: As a Special Projects Coordinator at LJA Facilities, you will be responsible for supporting the successful execution of cross-functional initiatives by assisting with project planning, documentation, communication, and logistics. This role collaborates closely with the Special Projects Manager and departments such as Facilities, Reprographics, Fleet, Projects, and IT to ensure tasks are completed on schedule and to quality standards. The role includes both administrative and hands-on responsibilities, including traveling to office sites, setting up and conducting Matterport virtual walkthroughs, and performing physical inventories of office equipment and assets.
A TYPICAL DAY MIGHT INCLUDE:
  • Coordinating and executing Office Matterport virtual walkthrough
  • Upgrading printers and deployments
  • Tracking inventory and field verification
  • Implementing telematics and software
  • Supporting M&A integrations
  • Updating Intranet and travel system
  • Company-wide access control rollouts

JOB RESPONSIBILITIES
  • Assisting in developing and maintaining project plans, schedules, and status reports
  • Coordinating project timelines and deadlines across multiple departments
  • Monitoring task completion, updating checklists, and flagging risks or delays for resolution
  • Preparing meeting agendas, taking detailed notes, and tracking follow-up items
  • Organizing and maintaining project files, documentation, and training materials
  • Drafting communications, user guides, and team updates to support implementation
  • Traveling to office locations to support physical inventory activities and verify assets
  • Conducting Matterport scans and uploading virtual walkthroughs for company records
  • Coordinating equipment transport, site setup, and hardware placement
  • Support site-based rollout of new equipment and systems
  • Serving as a liaison to internal stakeholders, ensuring project details are clearly communicated
  • Responding to inquiries and providing updates to team members and managers
  • Assisting in coordinating with external vendors as needed.
  • Helping develop process documentation and training tools.
  • Identifying and sharing process improvement opportunities with the project team.
  • Assist in data gathering, reporting, and performance metrics for project outcomes.
  • Performing other job-related duties as assigned or required.
  • To be successful in this position, the candidates should be:

    • Clear and professional in written and verbal communication
    • Capable of lifting, setting up, and transporting light to moderate office equipment and devices

EDUCATION/LICENSE/CERTIFICATIONS:
  • Associate degree or higher in Business Administration, Project Management, or a related field

REQUIRED QUALIFICATIONS:
  • 1+ years of experience in project coordination, field operations, or administrative roles involving hands-on support and cross-functional collaboration
  • Experience using Microsoft Office Suite (Outlook, Word, Excel, Teams)
  • Willing to travel regularly to support project activities and site coordination
  • Ability to adapt to evolving priorities and support fast-paced project execution
  • Detail-oriented with strong organizational and multitasking skills
  • Clear and professional in written and verbal communication
  • Capable of lifting, setting up, and transporting light to moderate office equipment and devices
  • Comfortable with frequent hands-on work in office and site environments

IDEALLY, YOU SHOULD ALSO HAVE:
  • Experience using project management tools such as Monday.com or equivalent
  • Capability of operating scanning equipment and mobile applications for asset tracking and Matterport scans
