Summary of Position:    The primary responsibility of the Admissions Counselor is to recruit students for Wesley Seminary. As a representative of Wesley Seminary, the person filling this role must have excellent knowledge of Wesley Seminary degree programs and a superior general understanding of the target audiences for which the programs are designed. This includes serving prospective and admitted students primarily in Wesley Seminary's Theological Programs in Spanish (TPS), and supporting the overall team goals by enrolling students in both English and Spanish language programs. Working in consultation with enrollment leadership, this person assists in developing and modifying plans to recruit students and support enrollment growth across all Seminary programs.


Duties and Responsibilities

  • Lead Generation
    • Identify and travel to selected conferences, conventions, and ministry events within the TPS student market
    • Represent Wesley Seminary and Indiana Wesleyan University to prospective students and influencers, including employers, supervisors, denominational leaders, pastors, and ministry partners
    • Plan and execute information sessions, open houses, webinars, recruitment events, and individual appointments
    • Coordinate visits to key ministry and community partners
    • Support recruitment initiatives and events designed specifically for Spanish-speaking student audiences, churches, and ministry networks 
  • Outreach & Enrollment Counseling
    • Serve as a primary enrollment contact for TPS students, providing culturally responsive guidance and support throughout the admissions process
    • Maintain regular contact with prospective students, applicants, and admitted students until they begin classes
    • Schedule and conduct individual meetings with prospective students as needed, guiding them through the enrollment process from inquiry to matriculation
    • Supply information regarding Seminary programs and other relevant university programs to prospective students
    • Collaborate with Admissions and TPS leadership to ensure prospective Spanish-speaking students receive accurate information regarding program offerings, schedules, and requirements
    • Conduct follow-up communication campaigns with both Spanish-speaking and English-speaking student populations to increase applicant conversion and enrollment yield
  • Application Management & Student Support
    • Process application materials and monitor completion of student applicant files
    • Keep applicants informed regarding admission status and next steps
    • Prepare students for review by the Admissions Committee and provide recommendations as appropriate
    • Review necessary financial aid forms and provide information on opportunities and deadlines
    • Assist TPS applicants in understanding admissions requirements, document collection, transcript submission, and enrollment procedures
    • Coordinate with Seminary and university offices to help remove enrollment barriers for Spanish-speaking students
  • Recruitment Strategy & Enrollment Growth
    • Consult with admissions and TPS leadership on the development and implementation of annual recruitment plans for TPS programs
    • Contribute ideas and initiatives to increase enrollment growth across all TPS programs
    • Assist in evaluating enrollment trends, particularly among Spanish-language audiences, and recommend outreach strategies to improve recruitment and retention
    • Collaborate with Seminary leadership to identify new opportunities for Spanish-language theological education and ministry training 
  • Application Review & Admissions Processing
    • Complete application reviews by verifying all information is complete and accurate in Colleague, Salesforce, and Etrieve
    • Ensure admissions decisions and enrollment documents are processed in a timely manner
    • Monitor application pipelines for TPS students and proactively communicate with applicants whose files are incomplete
    • Maintain accurate records and reporting related to both English-language and Spanish-language Seminary applicants 
  • Other Responsibilities
    • Carry out other duties as assigned by admissions leadership
    • Participate in seminary, admissions, and university meetings and training as required
    • Support collaborative efforts between admissions, academic, and student support teams to ensure student success from inquiry through enrollment
    • Manage and maintain the TPS marketing budget

Education
