What is a space manager?

Space Managers are professionals responsible for optimizing the use of physical spaces within organizations, such as offices, campuses, or retail environments. They analyze space requirements, allocate areas efficiently, and often use specialized software to plan layouts and track occupancy. Their work ensures that space is used effectively to support business operations, employee needs, and organizational growth. Space Managers may also coordinate moves, renovations, and compliance with safety or regulatory standards.

How does a space manager typically collaborate with other departments to optimize facility usage?

A Space Manager works closely with departments such as facilities, operations, and human resources to assess workspace needs and allocate areas efficiently. Regular meetings are held to discuss upcoming projects, department growth, and special events that may impact space requirements. The role often involves gathering input from department heads, analyzing usage data, and developing flexible space plans that align with organizational goals. Effective collaboration ensures that all teams have the resources they need while maximizing overall facility utilization.

What are the key skills and qualifications needed to thrive as a space manager, and why are they important?

To thrive as a Space Manager, you need expertise in facilities management, space planning, and a relevant degree in facilities or property management. Familiarity with Computer-Aided Facility Management (CAFM) systems, AutoCAD, and industry certifications such as IFMA or BIFM is often required. Strong organizational, communication, and problem-solving skills are crucial for effectively coordinating space usage and addressing stakeholder needs. These skills and qualities ensure optimal space utilization, cost efficiency, and a safe, functional environment for all occupants.

Your Duties
  • Collect, maintain, analyze, and report space, seating, occupancy, workforce, and facilities-related data to support leadership decision-making.
  • Develop and maintain dashboards, trackers, reports, charts, and other visual products to communicate space utilization, vacancy status, seating assignments, move planning, and resource requirements.
  • Analyze space utilization trends, identify gaps, conflicts, inefficiencies, and risks, and recommend practical improvements to support organizational operations.
  • Support physical space planning, seating optimization, office move coordination, and implementation planning across assigned organizations or mission areas.
  • Coordinate with stakeholders to validate space requirements, update seating charts, track vacancies, reconcile personnel data, and maintain current space records.
  • Use data analytics to support business insights, identify issues, draw logical conclusions, and recommend strategies that improve performance, efficiency, and resource alignment.
  • Integrate information from multiple data sources, including spreadsheets, SharePoint lists, databases, facilities records, organizational charts, and workforce data systems.
  • Prepare executive-level briefings, status reports, decision materials, and visual summaries related to space management, facilities planning, and organizational support.
  • Support the development and maintenance of standard operating procedures, data standards, business processes, and tracking mechanisms for space and resource management.
  • Collaborate with project requestors, senior stakeholders, facilities teams, office managers, security personnel, and program managers to refine requirements and clarify business objectives.
  • Apply senior-level analytical judgment to assess competing requirements, prioritize actions, and provide clear recommendations in a dynamic mission environment.
  • Maintain data integrity by validating source information, resolving discrepancies, documenting assumptions, and ensuring reports and dashboards reflect current operational conditions.
Required Skills and Experience
  • Top Secret / SCI security clearance
  • Master’s degree in Data Science, Statistics, Business, Information Systems, Facilities Management, Geography, Geospatial Information Systems, or a related field, or equivalent relevant experience.
  • 10 or more years of relevant experience developing, maintaining, and using analytic models, dashboards, visualizations, reports, or data-driven decision-support products.
  • Demonstrated experience performing senior-level data analysis, metrics development, reporting, and visualization to support business operations or organizational decision-making.
  • Demonstrated experience supporting space management, facilities coordination, seating management, workforce planning, resource planning, or related operational planning functions.
  • Demonstrated ability to integrate data from multiple sources, resolve data inconsistencies, and transform complex information into clear leadership-ready products.
  • Experience developing dashboards, trackers, charts, graphs, briefing materials, and other visual products for senior stakeholders.
  • Demonstrated experience using Microsoft Excel for complex data analysis, including formulas, pivot tables, data validation, and recurring reporting.
  • Demonstrated ability to use SharePoint, Tableau, databases, or similar systems to manage information, manipulate data, and build or maintain visualizations.
  • Strong written and verbal communication skills, including experience preparing reports, briefings, summaries, and recommendations for leadership audiences.
  • Demonstrated ability to work independently, manage competing priorities, and coordinate across multiple offices and stakeholders in a fast-paced environment.
  • Proficiency with Microsoft Office tools, including Excel, PowerPoint, Word, Outlook, and SharePoint.
Desired Skills and Experience
  • Experience supporting NGA, Intelligence Community, Department of Defense, or national security customers.
  • Experience with government facilities, secure office environments, classified workspaces, SCIF space planning, or controlled-access facilities.
  • Experience maintaining seating charts, space implementation plans, occupancy reports, vacancy trackers, or office move plans.

  • Experience with data quality analysis, data cleansing, data transformation, and data reconciliation across multiple business systems.
  • Experience documenting business processes, standard operating procedures, governance workflows, or recurring reporting processes.
  • Work is performed in support of Federal, Defense, Intelligence Community, and national security missions.
