Position Summary

The Spa Coordinator is responsible for creating a welcoming, seamless, and personalized experience for guests throughout their spa journey.

This position welcomes guests to the Spa, consults with them regarding their plans and needs, recommends customized treatments and experiences, schedules appointments, processes transactions, and provides accurate information regarding spa services, amenities, and property offerings.

The Spa Coordinator also serves as an important communication link between guests, practitioners, Spa leadership, and other hotel departments to ensure daily operations run smoothly and every guest feels genuinely cared for.

Key Responsibilities

  • Warmly welcome and assist guests upon arrival to the Spa.
  • Engage guests in conversation to understand their needs, preferences, and plans.
  • Ask thoughtful questions and recommend customized spa treatments, services, and experiences.
  • Provide accurate information regarding spa amenities, hydrotherapy experiences, treatments, fitness offerings, and hotel services.
  • Anticipate guest needs and respond promptly to requests.
  • Maintain positive guest relations throughout the entire spa experience.
  • Resolve guest concerns professionally and involve Spa leadership when additional assistance is needed.
  • Consistently meet and exceed The Standard’s established service expectations.
  • Schedule, modify, and cancel spa appointments accurately using the Spa reservation system.
  • Maintain accurate reservation records and guest profiles.
  • Coordinate treatment schedules while considering practitioner availability and operational needs.
  • Confirm appointment details and communicate relevant information to guests.
  • Assist guests with selecting treatments and experiences based on their preferences and availability.
  • Maintain clear communication with practitioners regarding schedules, changes, special requests, and guest needs.
  • Maintain strong knowledge of Spa treatments, services, products, packages, and experiences.
  • Actively seek opportunities to expand knowledge of Spa offerings and wellness experiences.
  • Make thoughtful recommendations based on individual guest needs.
  • Identify appropriate opportunities to enhance the guest experience through additional treatments, services, and products.
  • Maintain awareness of current Spa promotions, programming, and property offerings.
  • Maintain clear, professional, and welcoming communication in person, by telephone, and through email.
  • Respond to guest inquiries accurately and efficiently.
  • Answer incoming calls and assist with spa reservations, questions, and requests.
  • Communicate important guest information and special requests to the appropriate Spa team members.
  • Coordinate with other hotel departments when necessary to create a seamless guest experience.
  • Accurately process guest payments and transactions according to established procedures.
  • Maintain accurate guest and reservation documentation.
  • Assist Spa leadership with administrative and operational responsibilities as needed.
  • Maintain an organized, professional, and service-focused Spa reception environment.
  • Protect the confidentiality of guest information and hotel records.
  • Maintain awareness of activity throughout Spa areas and communicate operational needs to the appropriate team members.
  • Notify management of supply, equipment, or maintenance needs.
  • Monitor guest-facing Spa areas and report cleanliness or presentation concerns.
  • Identify potential safety hazards, correct them when appropriate, and report concerns to management.
  • Maintain knowledge of Spa and property emergency procedures.
  • Turn lost and found items over according to established property procedures.
  • Partner with Bath Attendants, practitioners, Spa leadership, Housekeeping, Engineering, and other hotel departments to support smooth daily operations.
  • Perform additional duties as assigned based on business needs.

Required Skills & Qualifications

  • High school diploma or equivalent preferred.
  • Previous experience in a high-volume, guest-facing hospitality, spa, wellness, retail, or customer service position preferred.
  • Previous spa or hotel experience preferred.
  • Consultative selling experience preferred.
  • Strong communication and interpersonal skills.
  • Ability to communicate clearly and professionally both verbally and in writing.
  • Ability to multitask and prioritize while responding to guest and management requests.
  • Strong attention to detail and organizational skills.
  • Comfortable using computers, reservation systems, email, and payment-processing systems.
  • Ability to remain calm, think clearly, and resolve problems using good judgment.
  • Ability to work independently with minimal supervision while also contributing to a team environment.
  • Ability to maintain confidentiality of guest and property information.
  • Fluent in English; additional languages are a plus.
  • Flexible availability, including weekends, holidays, and peak business periods.

Physical Requirements

  • Ability to stand or sit for extended periods, including up to an entire shift.
  • Ability to walk throughout Spa and hotel areas as needed.
  • Ability to bend, reach, and perform various physical movements throughout the workday.
  • Ability to lift, move, or carry items weighing up to 15 pounds.
  • Ability to communicate clearly with guests and team members in person and by telephone.
  • Ability to frequently use computers, keyboards, telephones, and reservation systems.
