The Human Resources Information and Technology Assistant is primarily responsible for assisting human resources-related information and technology. The incumbent who serves in this position is responsible for providing a broad range of human resources services. Duties include but are not limited to human resources information support, personnel transaction management, and onboarding of new employees. Serves as a data contact for various other departments and work locations to prepare a variety of district, state, and federal reports. Provides professional development to select employee groups as requested.
ESSENTIAL FUNCTIONS OF THE CLASS (May not include all duties performed).
  • Serves as a point of contact for internal and external contacts (i.e., telephone, e-mail, in-person).
  • Takes the initiative to respond to general inquiries, permitting the Coordinator of Human Resources to complete their primary responsibilities without undue interruption.
  • Conducts onboarding for staff.
  • Initiates calendar invitations to support supervisors with 45-day and 90-day timelines for new classified staff.
  • Communicates placement and technological support information to both supervisors and staff.
  • Manages electronic personnel files for former employees.
  • Processes personnel action reports (PAR) and maintains employee master in MUNIS for classified (primary) and professional staff.
  • Answers basic data requests in a timely fashion. Requests come from internal and external customers. Examples include time entry history, elections, terminations, full-time equivalent employees, etc.
  • Completes employment verifications for classified staff.
  • Ensures that prospective employees undergo a background check that includes initiating fingerprint paperwork and back-up screening that will be forwarded to reviewing agencies (back-up function).
  • Processes, executes, prints, and files contracts.
  • Supports the mission of a paperless environment by using electronic forms and conducting business via electronic methods.
  • Maintains and processes out-of-town travel and conference registrations including preauthorization, travel arrangements, and accommodations in alignment with our fiscal agent.
  • Responds to voice messages and e-mails within 3 business days.
  • Maintains Employee Master in MUNIS, primarily for professional staff.
  • Serves as a back-up support for the Human Resource Technician.
  • Performs related duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
  • Functional knowledge of the general organization, programs, the public-school systems, and the organizational mission of the Human Resources Department.
  • Ability to utilize a wide variety of computer technology hardware and software applications.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to communicate effectively with a variety of stakeholders.
  • Ability to develop detailed documentation.
  • Functional knowledge of data analysis and reporting techniques.
  • Ability to maintain records and prepare complex reports from such records.
