Job description

This position is responsible for performing a variety of duties including locating, retrieving, scanning and delivery of medical records for patient care and retrieving medical record documentation from electronic document management systems. This role may include scanning inpatient clinical documentation at the DFCI Hospital at the point of care a minimum of three (3) times per week to ensure availability in the electronic health record.

  • Contributes to teamwork and follows established department and Institute policies and procedures
  • Preps, scans and indexes requested medical records for scheduled and STAT appointments according to procedure and meets established time frames
  • If applicable, preps, scans and indexes medical records at point of care at the DFCI Hospital
  • Accesses various manual and computer systems including master patient index and chart-tracking systems to accomplish job duties. Verifies patient medical record numbers as necessary
  • Periodically is assigned special projects and related duties. May be required to assist in other areas of department as determined by departmental needs
  • Meets departmental productivity standards

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED: 

  • Ability to gather and interpret data in situations in which the information or problems are straightforward
  • Staff must respond appropriately to instructions, questions or request for information
  • Must be self-motivated, proactive in communicating progress and issues, able to manage time effectively to meet deadlines and prioritize workload.  Ability to act professionally to ensure that PHI is kept confidential
  • Must be detailed oriented
  • Experience using medical information systems preferred – Epic a plus
  • Communicates a thorough knowledge of the confidentiality and privacy laws established by Federal and State guidelines and adhere to DFCI and departmental policies
  • Must have the ability to multi-task and adapt to changes quickly
  • Demonstrates strong interpersonal skills to include excellent oral communication skills along with the delivery of exemplary customer service
  • Work requires sorting documentation alphabetically, sequentially by numbers, dates and types

MINIMUM JOB QUALIFICATIONS:

The position requires a high school diploma or equivalent. One year of experience in a healthcare setting is preferred. Candidates must have computer and data entry skills and the ability to work with a high level of detail.

SUPERVISORY RESPONSIBILITIES: None

PATIENT CONTACT: May interact with adult patients during point of care scanning.
