Summary:

This position reports directly to the Director of Food & Beverage or Clubhouse Manager and is a key member of the Food & Beverage team responsible for managing all Club events to the highest standard.ย 


While coordinating numerous events simultaneously, this role is the liaison between the Clubhouse Manager and Colleton River Club Members for all aspects of their events. Ensuring success by identifying event resources, coordinating pre-event details, effectively managing all on-site logistics and recommending the most appropriate food and beverage are critical success factors for this high profile, dynamic role.ย 


Duties and Responsibilities:

Preserve the Colleton River Club Member experience without hindering the event experience for hosting Members and guestsย 

Conceptualize, budget, contract, plan, and coordinate all aspects of the events falling under your purview, including Member events such as wine program, tennis, golf, and aquatics areas of the club, as well as holidays, socials, corporate, nonprofits and weddings.ย 

Create clear and concise room diagrams and detailed event orders noting all food and beverage requirements, timeline, set up, and decor details.ย 

Assist members with hiring and coordinating outside vendors for event elements such as entertainment, linens, florals and audio visual.ย 

Build and maintain positive relationships with Members, catering event hosts, internal partners, and vendors.ย 

Handles Member and Guest inquiries, questions, concerns, complaints. Partner with vendors during planning and execution.ย 

Host site visits with events host and vendors as required.ย 

Manage financial requirements for an event including budgeting, deposits, final payments, and processing vendor invoices.ย 

Make informed and experienced decisions that exceed Member and guest expectations while always considering the best interest of Colleton River Club

Provide onsite support for set-up/teardown, event flow, registration while acting as a liaison between the Colleton River Club Members, guests and internal support staff.ย 

Effectively manage all requests and inquiries in a timely fashion, ensuring the guest/member on the other side has a response within 48 hours of inquiry.ย 

Ensure internal and external partners are set-up for success by including historical event details, dietary restrictions, anticipating the needs of the Member/guest and utilizing applicable industry trends.ย 

Participates in all ancillary functions and organizations which enhance job performance, maintain industry knowledge, and current trends as well as personal professional development.ย 

Maintain and run scheduled weekly BEO meetings with internal partners

Requirements

Qualifications:ย 

Three to five years' experience in a hospitality/catering and event environment responsible for planning and executing sophisticated eventsย 

Previous experience at a private club or hotel within the Catering/Events teamย 

Bachelor's degree preferred with an emphasis in Hospitality and/ or Event Managementย 

Experience in managing & planning weddings and eventsย 

Knowledge of the logistics involved in planning and executing complex events.ย 

Proven track record of spearheading new projects or assigned responsibilities on time and within budget with minimal supervision.ย 

Strong analytical and problem-solving skillsย 

Demonstrated ability to communicate effectively, including proficiency in clear, concise, and compelling written and verbal communication skills, as well as listening and proof readingย 

Excellent administrative, telephone, organizational and interpersonal skills, strong working knowledge of computer software such as Microsoft Office, Adobe Acrobat, and internet capabilities; Jonas software knowledge a plus

Able to flex work schedule each week to include evenings, weekends, and holidays as per the event calendar/schedule. Must see event to conclusion on day of the event unless supervision is in place.ย 

Experience with Delphi, Jam, Prismm or Social Tables a plusย

Physical Demands:

Standing for extended periods

Stooping, Bending, Lifting and ability to carry up to 20 pounds (examples include carrying/lifting/moving cases of water/beverages/spirits and coolers

Moving furniture, setting up tables and chairs and stacking them and breaking them down after an event

Walking up and down stairs and on uneven surfaces during outdoor events.

Operates a variety of vehicles including Gators, Golf Carts (open air), truck/van.
