Job Summary:

We are seeking a highly organized and detail-oriented Executive Assistant to support our Chief Financial Officer (CFO) and Chief Executive Officer (CEO). This role combines high-level executive support with a strong foundation in accounting and financial operations. The ideal candidate will be proactive, discreet, and capable of managing confidential financial data, while also orchestrating executive priorities and communications.

About the Role / Key Accountabilities:

  • Executive Support:
    • Manage calendars, schedule meetings, and coordinate travel for CFO and CEO.
    • Prepare meeting agendas, take minutes, and follow up on action items.
    • Handle confidential correspondence and communication on behalf of the executives.
    • Prioritize and orchestrate tasks to ensure executive objectives are met.
    • Internal communications 
  • Accounting & Financial Operations:
    • Reconcile and prepare contractor data for 1099 forms in compliance with IRS regulations.
    • Assist in the preparation of US and Canadian tax returns and compliance reporting.
    • Support audits and respond to financial inquiries from internal and external stakeholders.
    • Summarize and analyze financial data for executive review.
    • Conduct compliance research and prepare reports as needed.
  • Documentation & Reporting:
    • Maintain organized and secure documentation of financial and executive records.
    • Assist with third-party administrative and financial reporting inquiries.
    • Prepare presentations and reports for board meetings and strategic planning sessions.

 Position Requirements:

  • 3+ years of experience in an accounting or finance support role, preferably with executive-level exposure.
  • College or University degree in a related business field.
  • Internal communication experience preferred, marketing experience an asset
  • Proficiency in accounting software and Microsoft Office Suite.
  • Exceptional attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Proven ability to manage confidential information with discretion.
  • Strong organizational and time management skills.
