Job description

Overview SMOSH is looking for a highly organized, detail-oriented Marketing Coordinator to help keep marketing initiatives moving from concept to completion. This role serves as the operational hub of the Marketing team, ensuring projects stay organized, timelines remain on track, and cross-functional teams have the information they need. Ideal candidates are naturally curious, thrive in project management tools like Monday.com, and enjoy bringing structure and clarity to fast-paced creative environments.

  • Proactive Communication & Clarity: Ask thoughtful questions, identify gaps, and communicate clear next steps to ensure expectations, deliverables, and priorities are understood.

Key Responsibilities

  • Project Coordination & Workflow Management: Be the go-to person for the Marketing team, ensuring projects move efficiently from kickoff through completion.
    • Manage and maintain Monday.com boards, workflows, and project documentation.
    • Build and maintain timelines, task assignments, and deadlines.
    • Track project status, identify risks, and proactively communicate timeline adjustments.
    • Coordinate work across Social, Design, and other cross functional teams.
    • Ensure requests are properly scoped, prioritized, and assigned.
    • Develop, distribute, and maintain creative briefs, ensuring projects are clearly scoped before work begins.
    • Maintain marketing calendars, campaign timelines, and launch schedules to ensure cross-functional alignment.
  • Communication & Information Management: Attend pre-production, creative, logistics & post-mortem meetings; capture detailed notes, track action items, and proactively ask clarifying questions to eliminate ambiguity and keep projects moving forward.
  • Marketing Operations & Reporting: Support the day-to-day execution and measurement of marketing initiatives.
    • Coordinate creative requests for social media and marketing campaigns.
    • Assist with marketing performance reporting, campaign tracking, and recurring business metrics to support strategic decision-making across the Marketing organization.
    • Build and maintain spreadsheets, trackers, and reporting documents that support decision-making.

Preferred Qualifications

  • 1-3 years of experience in marketing coordination, project coordination, production coordination, or a similar operational role
  • Experience in a creative agency, digital media company, production company, or entertainment environment
  • Advanced proficiency with project management platforms such as Monday.com, Asana, Airtable, or similar
  • Strong Microsoft Excel and/or Google Sheets skills, including experience organizing and analyzing data
  • Excellent written and verbal communication skills with strong attention to detail
  • Comfortable managing multiple projects simultaneously while adapting to changing priorities
  • Experience supporting creative, social media, or marketing teams is a plus
  • Familiarity with digital marketing, content production, or social media workflows is preferred
