Job description


The Strategic Enrollment Technology Specialist at the University of Tennessee at Chattanooga is a technical contributor responsible for the development, configuration, and maintenance of the CRM system and related enrollment technologies across campus. The Specialist designs and implements flexible CRM applications, communication journeys, event triggers, and inquiry management systems, performs testing and quality assurance, and delivers end-user training and documentation.
Works close with Undergraduate and Graduate Admissions, academic departments, and service offices, the Specialist ensures seamless systems integration, data integrity, and process optimization to support enrollment management objectives. Reports to the Director of Strategic Enrollment Technology, the role requires translating complex technical concepts into actionable solutions, coordinating cross-functional projects, and deploying scalable, high-quality systems that advance campus-wide enrollment strategies.
Responsibilities
Primary Responsibilities:
Project Management and Systems Execution
  • Manage and coordinate the daily intake and integration of admissions applications across SIS, CRM, Common App, TN Direct Admissions, UT Access Collab, and other third-party platforms
  • Coordinate application for Undergraduate and Graduate Admissions
  • Monitor and troubleshoot application load processes, identifying and resolving integration errors, data discrepancies, and workflow bottlenecks to ensure accurate and timely reflection of applicant data across all systems.
  • Analyze error reports to optimize data-loading processes, reduce inconsistencies, and improve overall system reliability
  • Oversee the Duplicate ID management process within the CRM and support the campus SIS duplicate resolution process, collaborating with cross-functional teams under the direction of the Director of Strategic Enrollment Technology to maintain data integrity and streamline operational workflows.

Project Management and CRM Solutions Execution
  • Lead the design, configuration, and deployment of applications, events, inquiries, targets, email campaigns, and communication plans within Microsoft Dynamics Reach CRM and other recruitment platforms to optimize enrollment workflows and meet departmental objectives
  • Define and implement the data architecture, including form design, field mappings, and workflow structures, to ensure accurate capture, processing, and reporting of recruitment data
  • Collaborate with departments to translate business requirements into technical solutions, often with minimal direction, while identifying opportunities for process improvement and automation
  • Provide ongoing training and documentation to campus stakeholders, enabling end users to leverage CRM functionality effectively and adopt new system features, enhancements, and best practices to maximize system utilization and operational efficiency

Project Management and CRM Messaging Execution
  • Manage and optimize text messaging solutions within Microsoft Dynamics Reach CRM to support multi-office campus-wide student outreach
  • Design and implement forms, workflows, automation rules, and processes to enable scalable, flexible, and efficient text communications across multiple departments
  • Develop and configure large-group messaging campaigns, monitor delivery and engagement metrics, troubleshoot system issues, and ensure data integrity within the CRM
  • Provide technical training, documentation, and support to campus staff, enabling effective use of CRM texting functionality and ensuring consistent, reliable communication across all Enrollment Management and Student Affairs (EMSA) offices
  • Administer and maintain user access and security permissions within Microsoft Dynamics Reach CRM and related enrollment systems, including configuration of security roles, field-level permissions, shared views, and access groups to enforce a secure and scalable database architecture
  • Serve as a secondary technical and functional liaison for campus offices, internal stakeholders, and prospective students, providing day-to-day support, troubleshooting system issues, and guiding users on CRM functionality
  • Ensure data integrity, maintain compliance with access policies, and optimize user workflows while addressing technical inquiries and operational needs across the university's enrollment technology ecosystem
  • Perform data analysis and performance benchmarking of Microsoft Dynamics Reach CRM and associated enrollment technologies using multiple analytics and reporting platforms, including Argos, Power BI, and Google Analytics, to inform data-driven decisions on enrollment strategy and prospective student trends
  • Evaluate system usage, campaign effectiveness, and workflow performance to identify opportunities for optimization and process improvement
  • Continuously monitor emerging student information systems (SIS) technologies, CRM best practices, and third-party enrollment solutions, assessing their applicability and integration potential to enhance CRM functionality, streamline enrollment processes, and improve data-driven decision-making across campus

Customer Service / Technical Support
  • Administer and maintain user access and security permissions within Microsoft Dynamics Reach CRM and related enrollment systems, including configuration of security roles, field-level permissions, shared views, and access groups to enforce a secure and scalable database architecture

Qualifications
Minimum Qualifications: Requires a bachelor's degree in education or business administration, computer Science or close equivalent. At least two years of related experience in providing application support, data management, report development, and functional student services.
Preferred Qualifications: A master's degree; Experience working with a Customer Relationship Management Database. Experience working with website design or communications management. Experience with operations in Higher Education Enrollment Management areas. Experience working in Customer Service within Higher Education.
Compensation and Benefits:
