MUSIC ASSISTANT

Reports to: Director of Music
Position Type: Part-Time

Position Summary:

To provide clerical support to departmental staff. To assist in the maintenance of an environment of effective and efficient work in the Music Ministry. This will be done mainly by assisting in the maintenance of all workflow elements, creating unique and better ways of conducting as necessary.

Key Responsibilities:

  • Update and keep accurate information for the department

    • Members Information Must Remain Confidential - Volunteers

  • Update procedural and office manuals

  • Coordinate monthly music calendar with church wide calendar

  • Draft monthly calendars for distribution the week preceding the coming month

  • Assist in maintaining inventory of music equipment once a month

  • Update and maintain Dropbox music files

  • Assist in the coordination of outside ministry events.

  • Maintain confidentiality regarding sensitive information related to church operations

  • Typing, drafting correspondence (Must be proficient in Word, Excel, & Power point)

  • Answering & Making calls on behalf of Leadership

  • Recording, Distributing and Maintaining Staff Meeting Minutes

    • Follow up on action items in staff meetings

  • Maintaining all files and records

    • Filing system, both digitally and in house

    • Employee / Independent Contractor information

    • Rehearsal information

      • Volunteer / Core group attendance

      • Musical selection recording – date, time, service

  • Preparing all material/documentation needed for weekend worship services

    • Song files

    • Lyrics

    • Singer assignments

  • Disseminate departmental information via email, phone, or any other form of communication deemed appropriate

  • Assist with Music Department ‘Open Calls’

Skills & Qualifications:

  • Working Knowledge of Planning Center Platform

  • Partial knowledge of Pro-Tools Software

  • Ability to work effectively in a team-oriented environment
