Job Title: Sales Coordinator, Hotel

Reports To: General Manager

Location: Palm Springs, CA

Employment Type: Full-Time

Job Summary

The Hotel Sales Coordinator assists the sales department in generating revenue through effective coordination of sales activities, client relationships, and event planning support. This role serves as a liaison between clients and hotel departments to ensure smooth execution of bookings, meetings, conferences, and special events.

Key Responsibilities

  • Assist the sales team with administrative and clerical duties.
  • Respond to inquiries from prospective and existing clients.
  • Prepare proposals, contracts, banquet event orders (BEOs), and sales presentations.
  • Coordinate group reservations, meetings, conferences, and special events.
  • Maintain accurate client records in CRM and hotel management systems.
  • Schedule appointments, site inspections, and client visits.
  • Track sales leads and follow up with potential customers.
  • Generate sales reports and monitor booking activity.
  • Coordinate with operations, catering, front office, and housekeeping teams to fulfill client requirements.
  • Support marketing campaigns, trade shows, and promotional activities.
  • Process contracts and ensure compliance with hotel policies.
  • Assist in achieving departmental revenue and occupancy goals.

Qualifications & Experience

  • High school diploma or equivalent; associate or bachelor’s degree in hospitality, Business, or related field preferred.
  • Previous experience in hospitality, sales, customer service, or event coordination preferred.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience with hotel property management systems (PMS) and CRM software is a plus.
  • Ability to work independently and as part of a team.

Work Schedule/Environment

  • Office setting within a hotel or resort.
  • Frequent interaction with guests, corporate clients, and internal departments.
  • May require occasional evening or weekend work during major events or peak seasons.

Physical & Mental Requirements

  • Must be able to stand or walk a minimum eight (8)-hour shift and work inside assigned bar area in the venue.
  • Must be able to twist, tow (push or pull), reach, bend climb and carry objects as necessary.
  • Must be able to lift and carry 25-50 pounds.
  • Must be able to work inside and outside at all times of the year as needed, based upon business volumes.
