Job description

Job Title: Project Admin/Coordinator Location: Minneapolis, MN Type: Contract Compensation: $29/hr. Work Model: Hybrid – Onsite Tuesday, Wednesday, and Thursday (Remote Monday and Friday) Hours: 40.0

Responsibilities

  • Coordinate and manage project documentation, including engineering drawings, RFIs, and project submittals.
  • Track document workflows, approvals, and deadlines to ensure timely responses to suppliers and project teams.
  • Monitor shared project inboxes and coordinate communication between internal teams and external suppliers.
  • Utilize tools such as OneNote, SharePoint, and Microsoft Office to track deliverables and maintain project records.
  • Route drawings and documentation to appropriate stakeholders for review and approval.
  • Follow up with team members to ensure approvals are completed and deadlines are met.
  • Perform quality checks on documents to ensure accuracy and completeness.
  • Prepare and organize large-format drawings, construction document packages, and bound project books for distribution to construction sites.
  • Support project managers, lead engineers, and construction teams with day-to-day project coordination needs.
  • Manage project communications through shared email inboxes.
  • Track drawing reviews, approvals, and project deadlines.
  • Coordinate with engineers, project managers, construction teams, and suppliers.
  • Update project tracking tools and document libraries.
  • Prepare printed drawing sets and large-format documentation packages for field teams.

Requirements

  • 2–4 years of experience in a professional, administrative, project coordination, or document management environment.
  • Experience managing, reviewing, organizing, and maintaining documents.
  • Experience with scanning, PDF management, and physical/online document libraries.
  • Strong attention to detail with the ability to identify errors and maintain document accuracy.
  • Excellent organizational and communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
  • Experience with OneNote, SharePoint, PDF editing tools (Adobe Pro or Bluebeam), and ProjectWise or similar document management systems.
