Job description

The HR Shared Services Analyst, Sr. is responsible for delivering high-quality HR support and ensuring the accurate administration of employee data, HR processes, and service delivery. This role is responsible for managing employee lifecycle transactions, maintaining data integrity across HR systems, supporting compliance and audit activities, and providing exceptional customer service to employees, managers, and HR partners. The HR Shared Services Analyst, Sr. will also contribute to process improvement initiatives and ensure compliance with organizational policies and legal regulations. This role serves as a high-volume user and operational resource for HR technology platforms, supporting accurate system transactions, workflow execution, data integrity, testing, adoption, and end-user guidance in partnership with HRIS and other technical stakeholders.


Employee Data Management:
  • Utilize HRIS platform to manage and maintain employee data accurately and efficiently.
  • Process employee lifecycle transactions, including onboarding, transfers, promotions, compensation changes, and offboarding.
  • Collaborate with HR teams to ensure data consistency and compliance with legal requirements.
  • Maintain electronic personnel files and HR documentation in accordance with retention requirements. 
  • Troubleshoot HR system issues and partner with HRIS and business stakeholders to resolve data or system discrepancies. 
  • Schedule employee check-ins and support HRBP's when needed.
  • Execute HR transactions through automated workflows and self-service platforms, ensuring timely approvals and accurate processing. 
  • Maintain data integrity through regular system audits, reconciliation activities and exception reporting. 
HR Service Delivery:
  • Serve as the first point of contact for employee inquiries regarding HR policies, procedures, and benefits.
  • Provide support through multiple channels (email, phone, Teams, HR portals) to resolve employee issues efficiently.
  • Support adoption of digital HR solutions by providing system navigation assistance and basic troubleshooting. 
  • Escalate complex cases to HR Generalists, HRBP's or management when necessary.
  • Guide employees and managers in the use of HR technology tools, self-service applications, and employee portals. 
  • Develop, maintain, and enhance intranet resources, including job aids, tools, communications, and self-service materials to support employee and leader education. 
  • Develop and deliver training resource matterials for supervisors and employees on HR processes, systems, policies, and best practices.
Compliance and Auditing:
  • Ensure that all HR processes comply with federal, state, and local employment laws.
  • Conduct regular audits of employee data and partner with stakeholders to correct discrepancies.
  • Support internal and external audits by providing necessary documentation and reports.
  • Assist with maintaining up-to-date knowledge of employment laws and regulations.
Process Improvement, Automation and HR Technology Support: 
  • Identify opportunities for process optimization and automation within HR Shared Services.
  • Participate in user acceptance testing (UAT), system configuration reviews, and change management activities related to HR technology initiatives.
  • Partner with HRIS, IT, Payroll, Total Rewards, and HR stakeholders to identify system gaps, workflow issues, reporting needs, and opportunities to improve the employee and manager experience.
  • Support HR technology initiatives, including system and platform upgrades, data migrations, integrations, testing, and implementation activities, while helping ensure data accuracy, process continuity, and successful adoption.
  • Develop and maintain clear and consistent documentation for HR processes.
 

Required:

  • Associate degree in Human Resources, Business Administration, Human Services or related field
  • 4-7 years of experience in HR operations
  • Proficiency with Microsoft Excel, including pivot tables, VLOOKUP/XLOOKUP functions, and data analysis techniques
  • Demonstrated experience using HR technology platforms in an HR operations or shared services environment, with the ability to navigate systems, execute transactions, validate data, support users, and partner effectively with HRIS or technical teams
  • On-site Monday – Friday
  • Ability to demonstrate sound judgment and effective communication skills (written and verbal)
  • Ability to effectively manage stress, including competing work demands and multiple projects at the same time
  • Strong organizational and time-management skills, with demonstrated ability to prioritize competing HR activities, anticipate time-sensitive requirements, and consistently meet critical deadlines while ensuring data accuracy, compliance, and attention to detail

Preferred:

  • Bachelors degree in Human Resources, Business Administration, Human Services or related field
  • PHR, SHRM-CP Certification
