Set Up Crew information

What is a set up crew?

Set Up Crew members are responsible for preparing venues, stages, or event spaces by assembling, arranging, and organizing equipment, furniture, and other necessary materials before an event takes place. They handle tasks such as setting up tables, chairs, audio-visual equipment, and decorations according to event specifications. Their work ensures that everything is in place and functioning properly so that the event runs smoothly. After the event, they may also assist with tearing down and packing up the equipment and materials. This role requires attention to detail, physical stamina, and the ability to work as part of a team.

What are the key skills and qualifications needed to thrive as a set up crew member?

To thrive as a Set Up Crew member, you need physical stamina, attention to detail, and basic understanding of event layouts, often supported by experience in manual labor or event logistics. Familiarity with tools such as dollies, hand trucks, and basic power tools is typically required, along with adherence to safety protocols. Strong teamwork, time management, and communication skills help individuals coordinate tasks efficiently and adapt to changing requirements. These skills are vital to ensure smooth event setups, minimize errors, and maintain safety and professionalism under tight deadlines.

What are some common challenges faced by a set up crew member during events, and how can they be managed effectively?

Set Up Crew members often face challenges such as tight setup schedules, last-minute changes to event layouts, and coordinating with multiple teams (like catering, AV, and decorators). To manage these challenges, clear communication, flexibility, and strong time-management skills are crucial. Being proactive—such as reviewing floor plans ahead of time and preparing backup solutions—can help ensure smooth event setups, even under pressure. Collaborating closely with supervisors and other departments also helps to resolve issues quickly as they arise.

This role requires a hands-on leader who can operate Trimble equipment and software independently, manage daily field operations, and ensure high-quality topographic and land surveys. The Survey Crew Chief will start each day from home with a company truck, travel directly to assigned sites, and spend most of their time in the field supporting ongoing projects.

Responsibilities
  • Lead a two-person survey crew and oversee all daily field surveying activities.

  • Perform topographic and land surveys using Trimble equipment and related software.
  • Set up, operate, and troubleshoot Trimble instruments and GPS equipment in the field.

  • Direct and train the survey technician on field procedures, safety practices, and proper use of equipment.
  • Coordinate with office staff to receive daily work assignments and clarify project requirements.
  • Organize and manage daily schedules to move efficiently between multiple project sites.
  • Maintain detailed field notes, sketches, and digital records of all survey activities.
  • Ensure all work complies with applicable standards, project requirements, and quality expectations.
  • Safely operate and care for the assigned survey truck, equipment, and tools.
  • Communicate clearly with project stakeholders regarding progress, issues, and field conditions.
  • Work primarily in the field across the designated geographic area, including Seaford, areas below Dover, and up to the Maryland line.
Essential Skills
  • At least 2 years of experience leading survey crews independently.
  • Proficiency with Trimble surveying equipment and Trimble software for field data collection and layout.
  • Hands-on experience with residential development surveying and construction stakeout.

  • Ability to perform topographic surveys and interpret survey data accurately.

  • Experience performing topographic surveys, land surveys, and ALTA surveys using Trimble and GPS equipment.
  • Familiarity with construction drawings and the ability to translate plans into field layout.
  • Attention to detail and strong organizational skills for maintaining accurate field records.
  • Motivation to grow within a small company environment with regular performance reviews and raise opportunities.
  • Willingness to mentor and guide less experienced survey technicians.

The Survey Crew Chief reports to the office as needed to receive work assignments but typically begins each day from home, driving a company-provided truck directly to job locations. The position covers a geographic area that generally includes Seaford, areas south of Dover, and extends to the Maryland line.
