Front Desk Administrator

PMI Inc – Kennewick, WA 99336

Front Desk Administrator Overview

PMI is seeking a dynamic, organized, and customer-focused Front Desk Administrator to be the welcoming face of our organization. This vital role is responsible for managing front desk operations, providing exceptional customer service, and supporting daily administrative functions to help maintain an efficient and professional office environment. The ideal candidate is energetic, detail-oriented, dependable, and possesses excellent communication and organizational skills. Bilingual abilities are a plus and will help serve our diverse customers and team members.

Schedule

Consistent full-time schedule with early Friday afternoons off.

This is a 40-hour-per-week position.

  • Monday–Thursday: 7:00 AM – 4:30 PM (30-minute unpaid lunch)
  • Friday: 7:00 AM – 11:00 AM

Essential Duties & Responsibilities

  • Greet visitors, clients, vendors, and employees with professionalism and enthusiasm, creating a positive first impression.
  • Answer and manage a multi-line phone system, directing calls accurately and maintaining exceptional phone etiquette.
  • Handle incoming mail, packages, emails, and general inquiries promptly and professionally.
  • Maintain a clean, organized, and welcoming reception and lobby area.
  • Perform general administrative duties including filing, scanning, copying, data entry, document preparation, proofreading, and maintaining office records.
  • Assist with calendar management, scheduling meetings, and coordinating appointments.
  • Order and maintain office supplies and assist with general office organization.
  • Support Human Resources by assisting with new hire onboarding paperwork and maintaining employee records.
  • Maintain accurate vendor records and assist with organizing vendor documentation.
  • Assist with new job setup by creating and maintaining project files, entering project information into company systems, and preparing job documentation.
  • Provide administrative support with contract preparation, document routing, and maintaining contract files.
  • Support office management with special projects and administrative tasks as assigned.
  • Maintain confidentiality while handling sensitive company and employee information.
  • Provide outstanding customer service to clients, vendors, and internal team members.

Qualifications

  • Previous experience in a front desk, receptionist, or office administration role preferred.
  • Strong clerical, organizational, and multitasking skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Experience using Google Workspace (Docs, Sheets, Gmail) is preferred.
  • Excellent computer and data entry skills with strong attention to detail.
  • Professional verbal and written communication skills.
  • Outstanding customer service and interpersonal skills.
  • Ability to prioritize tasks and work independently in a fast-paced environment.
  • Experience with multi-line phone systems, scheduling software, and office equipment is preferred.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Bilingual (English/Spanish) is highly preferred but not required.
