Job description

Responsibilities
Under the direction of the Finance Services Manager, the Receptionist serves as the first point of contact for residents, visitors, vendors, and City staff by providing professional customer service and administrative support. This position is responsible for greeting visitors, answering and directing incoming telephone calls, responding to general inquiries, maintaining accurate records and messages, and ensuring efficient communication between the public and City departments; and performs other related duties as assigned.
REPRESENTATIVE DUTIES
The following duties are typical. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.
  • Greet visitors, residents, contractors, and vendors in a courteous and professional manner, providing information and directing them to the appropriate department or staff member.
  • Answer, screen, and route incoming telephone calls; accurately record and relay messages to the appropriate personnel.
  • Serve as the primary point of contact for the public by responding to general inquiries and providing information regarding City services, programs, and departmental procedures.
  • Assist customers by responding to routine questions, complaints, and requests for service or directing them to the appropriate department for assistance.
  • Perform data entry and maintain accurate records and files.
  • Receive, sort, and distribute incoming mail and deliveries.
  • Assist with clerical and administrative tasks including filing, copying, scanning, and document preparation.
  • Coordinate communication between departments to ensure efficient customer service and information sharing.
  • Perform other related duties as assigned.

ABILITY TO:
  • Multi-task.
  • Respond to inquiries, complaints, and requests for service in a fair, tactful, and firm manner.
  • Prepare accurate and detailed documentation of calls. Maintain complex logs, records, and files.
  • Understand and follow oral and written instructions.
  • Type and enter data accurately at a speed necessary for successful job performance.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships with those contacted in the course of work.

Qualifications
EDUCATION AND EXPERIENCE
  • High School Diploma or GED with at least three years of customer service experience.
  • Microsoft Office experience required (Word, Excel, Outlook, PowerPoint)
  • Experience that includes customer service in a municipal government setting is a plus.
