Job Summary:

This position is primarily responsible for processing new materials requests, receiving purchased materials, and the bookkeeping functions of the Heterick Memorial Library. The chief tasks include purchasing new materials for the library, receiving and verifying all purchased items, tracking and claiming orders and subscriptions, processing invoices for payment, performing general budgeting in the university's accounting system, purchasing and keeping track of supplies orders and renewing serial subscriptions.
This position works at the front desk a few hours each week in the morning to cover the front desk before the circulation staff member comes in to work and this work includes assisting library patrons and supervising student workers. This position will also fill in on an as-needed basis at the front desk.

Job Description:

Acquisitions:

  • Process new materials requests by retrieving bibliographic records from OCLC, create order records in the library's integrated library system and purchase materials from various library vendors.
  • Process invoices by verifying charges, updating and posting charges in the library accounting system, and preparing check requests for transfer to the Controller's Office in an accurate, systematic and timely manner.
  • Assist with monitoring and managing budgets.
  • Monitor and reconcile the budget activity in the library accounting system with activity in the University's accounting system and identify and resolve any discrepancies.
  • Renew and make payments for subscriptions to serials and databases.
  • Prepare a variety of statistical reports using the local accounting system and Excel for budget planning analysis projections and statistics.
  • Communicate with vendors to promptly resolve issues with shipping or billing and return incorrectly shipped or damaged materials.
  • Communicate with the Controller's Office to resolve issues with payments or account reconciliation.
  • Maintain correspondence and budget -related files in a manner that allows efficient data retrieval.
  • Purchase, track and receive orders for office supplies in the library.
  • Answer budget-related questions from faculty and staff.
  • Communicate with faculty regarding availability of new acquisitions.


Processing and Deacquisition:

  • Receive items ordered from vendors for transfer to Cataloging.
  • Process items selected by the librarians for deacquisition by removing all associated records in the library's software system and library holdings for deselected materials in the OCLC Connexion Client.
  • Organize and prepare shipments for all deselected items to be sent to Better World Books.
  • Provide monthly statistics for withdrawals of all material types.


Serials and Library Mailings:

  • Receive, process, and shelve all new print serials and newspapers using the library's software system and update volume/issue numbers where there are discrepancies.
  • Identify and report periodicals needing claims to the Electronic Resources Librarian, and follow up when claimed items are received.
  • Perform routine weeding of print serial titles not retained indefinitely.
  • Receive, sort, and distribute mail, packages, and ILLs to various Heterick Library departments on a daily basis.


Other:

  • Assist patrons and supervise students as a backup for the Circulation Desk in mornings and additional times when needed.
  • Participate in professional development activities and/or internal library committees and task-forces.
  • Supervise student workers and interns assigned to the Technical Services Department.
  • Must be able to lift up to 30 lbs. repeatedly in order to process boxes of new and deselected books.
  • Other duties as assigned.
