Job description

Job Summary: The Legal Senior On-Site Service Specialist provides comprehensive operational support within a legal office environment, including high-volume copy and print services, mail processing, document management, scanning, shipping/receiving, and customer support. This role works closely with legal professionals and executive-level clients, handling confidential and time-sensitive documents while ensuring exceptional customer service, accuracy, and adherence to legal industry standards. Key Responsibilities: Operate high-volume duplicating, copying, scanning, and document production equipment Perform binding, finishing, and quality control checks on legal documents Handle highly confidential and time-sensitive legal documents with accuracy and discretion Process incoming and outgoing mail, faxes, shipments, and postage requirements Perform shipping and receiving duties, including package tracking and documentation Provide maintenance and repair support for customer copier equipment Conduct daily inspections of copier equipment and troubleshoot operational issues Clear paper jams and coordinate service calls with technicians when necessary Manage document scanning, file conversion, file naming, and electronic document processing Perform FTP transfers and manage electronic files for printing and distribution Create and manage Table of Contents (TOC) pages for electronic files Utilize OCR technology to support document searchability and legal workflows Format documents, including Excel files, for printing and presentation purposes Maintain inventory records and order supplies as needed Distribute office supplies, mail, and completed work products throughout the facility Calculate job charges and maintain billing and service logs Coordinate customer service requests and provide project status updates Assist with filing, document archiving, and records management activities Support meeting room setups, conference room arrangements, and facility-related tasks Assist with office moves, light maintenance, and occasional cleaning duties Coordinate off-site projects with BIS or Smart Source vendors Provide professional support to legal secretaries, paralegals, associates, partners, project managers, and executive-level clients Complete projects accurately while meeting tight deadlines and quality standards Perform other duties as assigned Required Skills: Excellent customer service and client relationship management skills Strong verbal and written communication skills Minimum 2 years of experience in the legal industry Ability to handle confidential and sensitive information Experience with high-volume copy, print, and scanning operations Knowledge of document management and advanced workflow processes Troubleshooting and problem-solving abilities Knowledge of shipping and receiving procedures Strong organizational and time management skills Ability to work independently and manage multiple priorities Technical aptitude with copiers, printers, scanners, and office equipment Proficiency with PC applications and Microsoft Office tools Experience with OCR, file conversion, and electronic document processing Ability to work effectively under pressure and meet strict deadlines Preferred Skills: Related copy/print production experience Working knowledge of copier repair and maintenance Basic electronics knowledge Experience supporting executive-level customers Valid driver's license and required auto insurance coverage (if applicable) Education: High School Diploma or GED required Education: High School
