Coding Operations Lead / Senior Coding Supervisor

The Coding Operations Lead manages the day-to-day performance of the professional coding team responsible for inpatient, outpatient, surgical, and ancillary encounter coding (PWS §3.1). This role ensures coders meet the 5-day turnaround standard, maintains ≥95% accuracy, and serves as the escalation point for complex or ambiguous coding scenarios and provider queries.

Key Responsibilities

  • Supervise and schedule the coding team to meet volume targets (approx. 50,000 outpatient encounters/year) and PWS §5.0 timeliness standards.
  • Assign and validate ICD-10-CM/PCS, CPT, and HCPCS codes for outpatient, ancillary, and surgical encounters; ensure correct sequencing and encounter resolution.
  • Oversee the facility-directed query/clarification process for conflicting or ambiguous documentation.
  • Manage the re-review workflow: respond to VA requests for edits, denials, and retrospective reviews, and correct unsupported, unbundled, or inaccurate code assignments within 3–5 calendar days.
  • Apply and enforce Official Coding Guidelines (AHA, AMA, CMS, NCHS), VHA Coding Guidelines, and NCCI edits; ensure local VA policy deviations are followed where applicable.
  • Flag non-billable encounters using standardized encoder reasons and coordinate billing communication.
  • Monitor individual and team accuracy/productivity metrics and feed data into weekly/monthly status reports.
  • Coordinate with the Lead Coding Auditor on audit findings and drive corrective action/coder retraining.
  • Ensure data acceptance by national VA data repositories and promptly correct rejected records.

Minimum Qualifications

  • Minimum 5 years of professional medical coding experience, including at least 2 years in a lead/supervisory capacity.
  • Formal training in anatomy, medical terminology, pathophysiology, and reimbursement methodologies (PWS §6.0).
  • Demonstrated proficiency in VA or comparable EHR/encoder platforms.
  • Strong knowledge of outpatient, ancillary, and surgical coding across multiple specialties.
  • U.S. citizen (PWS §6.0 citizenship requirement for coders).

Required / Preferred Certifications

  • Active credential required: RHIA, RHIT, CCS, CCS-P, CPC, CPC-H, or ICD-10-CM/PCS Trainer certification (per PWS §6.0).
  • AAPC or AHIMA credential in good standing.

Security & Compliance

  • Subject to VA background investigation/fitness determination per assigned risk tier before EHR access is granted.
  • Must complete VA privacy/security and records-management training prior to performance start.
  • Handles PHI/PII in accordance with HIPAA and VA data protection requirements.
