About Food For The Poor

Food For The Poor, one of the largest international relief and development organizations in the nation, does much more than feed millions of the hungry poor primarily in 17 countries of the Caribbean and Latin America. This interdenominational Christian ministry provides emergency relief assistance, clean water, medicines, educational materials, homes, support for orphans and the elders, skills training and micro-enterprise development assistance. "Join us in our mission to serve the poorest of the poor."

OVERALL RESPONSIBILITY

The Warehouse & Distribution Manager provides operational leadership for all warehouse and distribution activities at Food for the Poor Jamaica. The role ensures the safe, efficient, and accountable handling of donated goods and purchased supplies are in alignment with Authorized Economic Operator (AEO) operational controls, donor expectations, internal policies, and disaster response requirements.

This role exists to reduce operational risk, strengthen inventory accountability, and ensure disciplined execution across all warehouse environments.

The incumbent will ensure strong internal controls, accurate inventory management, and efficient distribution to support program delivery, including outreach and mission activities, while maintaining full compliance with audit and donor requirements.

This position is critical because:

  • Warehouse operations represent FFTP Jamaica’s largest and highestrisk operational function
  • The scale and complexity of warehousing exceed what can be responsibly managed alongside fleet, facilities, or security
  • Inventory accuracy, space utilization, and staff supervision require dedicated, experienced leadership
  • Disaster response demands rapid but controlled warehouse execution under pressure

Key Responsibilities

1. Warehouse Operations Management

  • Oversee daily operations across all FFTP Jamaica warehouses, including:
  • General & Medical Supplies
  • Food Warehouses
  • Lumber & Accessories
  • Develop and implement efficient warehouse systems, processes, and SOPs
  • Ensure proper receiving, storage, picking, staging, and dispatch of goods
  • Implement and enforce FIFO / FEFO practices where applicable
  • Maintain orderly, safe, and spaceefficient warehouse layouts
  • Ensure damaged, expired, quarantined, or restricted items are clearly identified, segregated, and controlled
  • Enforce housekeeping, safety, and materialhandling standards

2. Distribution & Dispatch Oversight

  • Oversee preparation and release of goods for distribution to approved partners and communities
  • Ensure all releases occur only with approved documentation and authorization
  • Coordinate closely with the Logistics & Compliance Coordinator on:
  • Delivery orders
  • Dispatch schedules
  • Distribution records
  • Support disaster response operations by enabling:
  • Surge capacity
  • Temporary workflow adjustments
  • Staff redeployment within policy limits

3. Inventory Control & Accountability

  • Own daytoday physical inventory accuracy within warehouse operations
  • Lead routine cycle counts and support annual physical inventories
  • Investigate and resolve inventory discrepancies in collaboration with:
  • Logistics & Compliance
  • Finance
  • Safety & Security
  • Enforce segregation of duties between receiving, recording, and releasing inventory
  • Ensure accurate and timely documentation supporting all inventory movements
  • Ensure all warehouse transactions are supported by approved documentation (requisitions, delivery notes, sign-off forms)
  • Maintain structured filing systems for audit readiness

4. People Management & Supervision

  • Supervise warehouse supervisors and frontline warehouse staff
  • Set clear performance expectations, productivity targets, and work standards
  • Promote a culture of respect, professionalism, and accountability
  • Manage staff scheduling, overtime, and use of casual labor in coordination with HR
  • Identify training needs and support coaching and corrective action as required\

5. Compliance, Safety & Internal Coordination

  • Support AEO compliance by enforcing required operational controls within warehouse environments
  • Work closely with the Safety & Security Coordinator on:
  • Access control implementation
  • Incident reporting
  • Safety compliance within warehouses
  • Collaborate with Finance on inventory verification, audits, and reconciliations
  • Participate in internal and external audits as required

  • Manage security guards, CCTV systems, or emergency response planning
  • Serve as a community, or political liaison
  • Own AEO documentation, certification management, or compliance governance

  • Experience in humanitarian, donorfunded, or regulated operations is an asset
