Job description

This position will be based out of our Gainesville, FL office working remotely.
The Senior Accounting Associate is responsible for managing the financial transactions and communications between assigned agencies and insurance carriers. This role ensures accurate processing of invoices, statements, payments, and return premiums, while maintaining detailed records in AMS360. The position also includes leadership responsibilities in the absence of the CP Team Supervisor.

The ideal candidate will be service focused, team-oriented, self-motivated, resourceful, detail-oriented and enjoy working in a collaborative and fast-paced environment.
Requirements
Duties and Responsibilities:
  • Carrier Invoice & Statement Processing
  • Processes Carrier Invoices/Statements:
  • Review each line item: premiums paid, returned premium received, AB and DB commission credits.
  • Verify commission percentages and corrects commission percentage errors.
  • Prepare and post Account Current in AMS Company Center.
  • Pay carriers only for line items with received premium.
  • Create AMS Company Center activity with supporting documentation.
  • Processes finance company payables and unearned commissions to carriers.

Return Premium Processing
  • Follow the current process for Return Premium Check Request forms from Account Managers.
  • Identify that the funds have been received by KRP, Post in AMS, send an approval email to CP Inbox and move to Check Approvals folder for CP Supervisor review.

Accounts Receivable & Ledger Management
  • Process assigned agencies in the CP Weekly AR Ledger.
  • Pay carriers for received premiums and post payments in AMS.
  • Create AMS activities and update ledger notes.
  • Address older AP items (30-60 days) in the CP Weekly AR Ledger.
  • Address older AR items over 60+ days.

Email & Activity Management
  • Process all URGENT emails for assigned agencies.
  • Create an AMS360 Activity/Suspense for all emails awaiting action or information:
    i.e. Carrier Invoice, Carrier payment receipt, and email remittance backup to carrier.
  • Field emails from assigned agencies via the CP Inbox.
  • Work and clean out branch folders for Return Premium every Friday.

Meetings & Communication
  • Attend all Weekly Team Meetings with the camera on.
  • Attend all Accounting ALL Meetings with the camera on.
  • Send remittance emails to carriers and account managers.
  • Email account managers and carriers regarding payments made.

Leadership Responsibilities (In Absence of CP Team Supervisor)
  • Monitor bank balances in AMS360.
  • Review and process escalated issues from team members.
  • Refer escalated issues to Assistant Controller, Penny Venable.
  • Manage team workflows and maintain operational fluidity.
  • Approve CashPro ACHs, Check Requests, and EFTs under $50,000.
  • Conduct weekly team meetings (minimum 30 minutes) and ensure minutes are typed and posted.

Knowledge, Skills and Abilities (KSA):
  • Experience in the insurance industry is preferred.
  • A working knowledge of insurance-based management systems (i.e. AMS360, Epic, Applied TAM) is preferred.
  • Ability to work independently and contribute to a collaborative environment by consistently demonstrating teamwork, high motivation, positive behavior, and effort to achieve goals and objectives.
  • Self-motivated and driven.
  • Maintain a sense of urgency and ability to work with and meet deadlines.
  • Demonstrate effective written and verbal communication, including the ability to actively listen, and problem solve with minimal assistance.
  • Demonstrate excellent time management and prioritization skills using discretion surrounding sensitive or confidential information.
  • Attention to detail and commitment to a high level of accuracy.
  • Ability to maintain a professional demeanor and positive attitude.

Required:
  • Minimum of three (3) years of working experience in accounting.
  • Excellent analytical skills.
  • Proficiency in Microsoft Excel and other Microsoft suite of products. Advance Excel skills required.
  • Efficient operation of 10-key pad.
  • High school diploma or GED
