Position Summary
The HCV Finance Administrative Assistant provides administrative and clerical support to the HCV Finance Department. This position is responsible for assisting with landlord and client communications, maintaining records, processing administrative requests, and supporting day-to-day office operations. This is an entry-level position that requires strong organizational skills, attention to detail, and the ability to provide excellent customer service.
Position Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Assist with setting up and distributing debit cards for clients as needed.
  • Process landlord change of address requests and update records accordingly.
  • Complete and process new vendor setup
  • Monitor and respond to landlord email inquiries in a professional and timely manner.
  • Perform data entry and maintain accurate records and documentation.
  • Order office supplies and enter purchase orders (POs).
  • Track and monitor portability billings and related documentation.
  • Prepare, send, and track invoices associated with portability billing.
  • Provide customer service assistance to landlords, clients, and staff.
  • Assist with filing, scanning, copying, and other general office duties.
  • Maintain confidentiality of client and program information.
  • Perform other duties as assigned.

KNOWLEDGE, SKILLS and ABILITIES
  • Strong organizational and time management skills.
  • Ability to communicate professionally with landlords, clients, and staff.
  • Basic computer proficiency, including Microsoft Office applications such as Word, Excel, and Outlook.
  • Ability to perform accurate data entry and maintain attention to detail.
  • Ability to handle multiple tasks and meet deadlines.
  • Strong customer service and interpersonal skills.
  • Ability to work independently and as part of a team.

Qualifications
MINIMUM QUALIFICATIONS
  • High school diploma or GED required.
  • Previous administrative or customer service experience preferred but not required.
  • Experience working in an office environment is a plus.
