The job of Administrative Secretary-High School is done for the purpose/s of providing administrative support to a complex variety of site functionality and site processes; reporting to several administrators; providing coordination, collaboration and information for staff, students, parents, community and pubic agencies; establishing and maintaining records; compiling and distributing materials and reports; responding to complaints; assessing issues and providing referral.
Essential Functions
  • Administers first aid and prescription medications to students (under the direction of a health care professional), if assigned (e.g. monitoring sick room, etc.) for the purpose of meeting immediate health care needs within established guidelines.
  • Attends department and/or in-service meetings (e.g. presenting information and receiving information, etc.) for the purpose of conveying and/or gathering information required to implement site requirements, according to all requirements and laws.
  • Collects payments for a variety of events, if assigned (e.g. bus trips, fines, fees, fund raisers, parking permits, student fees, etc.) for the purpose of ensuring accurate completion of transactions and/ securing receipt of monies.
  • Communicates safety and security policies and enforcement procedures (e.g. to parents, visitors, students, staff, etc.) for the purpose of ensuring their understandings of such information and the potential consequences of violation.
  • Compiles data for a complex variety of site processes (e.g. work orders, budget reports, specialized reports, personnel records, etc.) for the purpose of preparing reports and processing requests.
  • Coordinates assigned projects , as assigned (e.g. payroll, public relations, hospitality,student/faculty recognition, new hires, scheduling, multiple financial processes, etc.) for the purpose of ensuring accuracy, completion of all processes assigned.
  • Manages personnel processes, if assigned (e.g. payroll, benefits, PD, timecards, ID badges, new hire training, etc.) for the purpose of implementing and completing all assigned personnel procedures.
  • Oversees receptionist processes (e.g. phone line management, voicemail, locker assignment, mail, web site, marquees, etc.) for the purpose of ensuring effective site reception procedures.
  • Prepares a variety of correspondence, reports and other materials (e.g. requisitions, purchase orders, forms for advertising vacant positions, letters, memorandums, minutes, periodic and ad-hoc reports, special student or staff recognition awards, etc.) for the purpose of documenting activities, providing written reference, and conveying information.
  • Processes a variety of documents and materials (e.g. field trip requests, time sheets, work orders, requisitions, travel reimbursements, etc.) for the purpose of ensuring dissemination of site processes information, in compliance with established administrative guidelines.
  • Provides optimal public relations processes, if assigned (e.g. student and faculty recognition, newsletters, luncheons, awards, calendars, etc.) for the purpose of providing necessary site communication.
  • Researches assigned topics (e.g. current practices, policies, education codes, etc.) for the purpose of providing information for addressing site operations.
  • Responds to inquiries from a variety of internal and external parties (e.g. students, parents, school staff, district staff, other schools, government agencies, general public, etc.) for the purpose of providing information, facilitating communication among parties and providing direction.
  • Schedules activities (e.g. appointments, faculty and staff meetings, lunches, travel
  • reservations/accommodations, facility usage, field trips, etc.) for the purpose of making necessary arrangements for assigned administrators and personnel.
  • Screens telephone calls and visitors (e.g. all visitor requested activities, etc.) for the purpose of responding to inquiries, transferring calls or taking messages.
  • Serves as registrar, at some Alpine sites, if assigned (e.g. enrollment, verification of student data, report cards,census accounting, transcripts, power of attorney, academic records,attendance, etc.) for the purpose of ensuring complete and accurate historical documentation.
  • Performs other related duties as assigned (e.g. arrange for special student or staff recognition awards, etc.) for the purpose of ensuring the efficient and effective functioning of the work unit.
