Secretary to the High School Principal
JOB DESCRIPTION: Secretary to the High School Principal
REQUIREMENTS:
1. High School Diploma
2. Experience working as a secretary in a legal, executive or educational environment.
3. Excellent computer skills
4. Proficiency with CIMS software or similar database; ability to
learn software quickly
5. Shows excellence in written and oral communication
6. Knowledge of office equipment, such as copier, fax machine,
computer
8. Demonstrates ability to be a "team player" in concert and other
secretarial staff
REPORTS TO: High School Principal
DUTIES AND RESPONSIBILITIES:
1. Act as personal secretary to the principal (and other administrators, as necessary):
a. Handle routine telephone calls and messages; call back as requested;
b. Maintain master calendar; schedule appointments and coordinates as needed;
c. Promptly file material for personnel and programs under the principal's supervision;
d. Greet and verify identity of visitors, assign visitor passes, direct visitors;
e. Assist with discharge clerical functions for principal's professional obligations.
2. Take notes at meetings as requested and prepare minutes for signatures.
3. Work independently on projects and tasks after receiving initial instructions, accomplish objectives within reasonable constraints.
4. Process district applications and forward to Central Office.
5. File material as necessary
6. Generate routine correspondence as requested; prepare for signature and mail or fax
7. Assist in the completion of required reports (including, but not limited to, AdvanceEd, IDOE, LRS).
8. Prepare suspension forms, expulsion packets, and discipline binder.
9. Prepare all staff evaluation forms under the direction of the principal and maintain RISE binder.
10. Act as office manager, ensuring that all work is promptly, properly and accurately done.
11. Prepare requisitions and purchase orders for office operations.
12. Assist during registration and other major activities.
13. Assist and handle record keeping for substitutes. Monitor and maintain AESOP records.
14. Exhibit initiative, creativity and good judgment in making decisions and reflect a positive attitude and work ethic representing the Lake Ridge Schools.
15. Maintain the electronic sign with timely, positive information.
16. Exercise good judgment in handling confidential information and correspondence.
18. Attend staff meetings, assemble minutes, and staff sign in sheets in binder.
19. Inventory and order office supplies, ink, toner, and paper.
20. Schedule and log fire and emergency drills.
21. Use intercom system to lead pledge, and make announcements.
22. Use Blackboard Connect to send Alert Nows and emails to parents.
23. Collect and document school closing information from staff.
24. Update student handbook as necessary.
25. Update staff handbook as necessary.
26. Update phone system for new teachers and classroom changes.
27. Update school maps as necessary.
28. Collect and receipt fees for bookkeeper during summer.
29. Gather and document security cameras for incidents.
30. Update school website and train teachers on process to update their class pages.
31. Complete work permits with the Indiana Department of Labor.
32. Maintain key distribution log.
33. Train and manage student office assistants.
34. Collect and distribute building usage applications.
35. Exercise good judgment in handling confidential information and correspondence.
36. Exhibit initiative, creativity and good judgment in making decisions and reflect a positive attitude and work ethic representing the Lake Ridge Schools.
37. Perform such other duties as may be assigned by the High School Principal or his/her
Designee.

EVALUATION: Performance on job requirements will be evaluated annually by the Principal in accordance with Board Policy.
