Job description

The Office Secretary plays a vital role in ensuring smooth office operations by providing excellent customer service, managing administrative tasks, and maintaining a clean and organized workspace. Reporting directly to the office manager, this position supports the team through effective appointment scheduling, accurate data entry, billing support, and general office upkeep. This fixed-scope role offers flexible scheduling, primarily working 9-4 Monday through Thursday, with extended hours during peak seasons.

Responsibilities

  • Answer phones and handle billing inquiries
  • Schedule appointments efficiently
  • Enter client information and maintain filing systems, including Excel spreadsheets
  • Process orders and replacement cards
  • Fax and forward client information as needed
  • Maintain cleanliness of office areas including vacuuming, dusting, and kitchen upkeep
  • Manage supply room inventory

Preferred Qualifications

  • Entry-level experience in office administration
  • High School Diploma or equivalent
  • Proficiency with Microsoft Excel
  • Strong customer service and communication skills
  • Attention to detail and ability to multitask
  • Effective time management and record keeping skills
