Summary of Position:
The Global Enrollment Management (GEM) Department serves all students who apply and/or are admitted to IES Abroad programs, and those who apply to SAF programs. The GEM Specialist role acts as the admissions officer for a portfolio of programs and is
responsible for administering and moving students through the admissions process. Additionally, GEM Specialists are responsible for oversight of student visa requirements, including liaising with consular officials and other visa officers, maintenance of student visa resources, and visa application review via the ACCeSS Program.
Essential Job Responsibilities & Duties:
  • Act as admissions officer for assigned programs by reviewing all student documents and submitting complete applications to host institutions in a timely and accurate manner
  • Serve as contact in GEM department providing exceptional service to students, university coordinators, other internal departments, international country offices, and IES Abroad Centers
  • Maintain student data in database and client relations management system
  • Collaborate with consulates and embassies to provide accurate visa application instructions to students and IES Abroad constituents
  • Monitor visa requirements for student travel and compile documentation to support students in navigating the visa process
  • Review student visa applications, manage batch oversight for assigned consulate(s), and provide resources, instructions, and guidance to students and colleagues
  • Communicate regularly with all constituents regarding individual students, program changes, and other updates
  • Create, manage, and review high volumes of online forms
  • In consultation with other departments, provide input for effective, easy to read, and streamlined pre-departure content and communications to admitted students
  • Serve organization's need for reports and analysis of enrollment data
  • Maintain orderly and confidential filing systems and record keeping
  • Regular and predictable attendance is essential for this position
  • Take on special projects, other duties, and tasks as assigned
Experience & Qualifications/Skills
  • Minimum one year data entry or administrative experience
  • Database literacy and extensive knowledge of Microsoft Office and Excel
  • Ability to organize and prioritize multiple projects and to meet deadlines
  • Strong written and verbal communications skills
  • Effective interpersonal communication skills and customer focus
  • High attention to detail with the capacity to maintain accurate records
  • Collaborative approach to problem solving
  • Takes responsibility for actions, results, and mistakes
