Job description

Job Summary

The Congregational Office Coordinator is a key member of the staff at Gethsemane Lutheran Church, ensuring the smooth operation of the church office while providing administrative, communications, and organizational support to the Pastor, Youth and Family Coordinator, and congregational leadership. As the first point of contact for members, visitors, and the community, the Congregational Office Coordinator creates a welcoming and hospitable environment while managing essential office functions.


Duties

  • Create welcoming atmosphere for visitors, guest groups and members.
  • Greet persons/ groups who call or stop in person and assist them appropriately.
  • Answer phone calls and serve as receptionist during office hours.
  • Receive and manage reservations for ministry events.
  • Prepare and publish weekly and occasional worship materials (PowerPoint, bulletins, Presider script)
  • Prepare, publish and distribute weekly newsletter
  • Prepare and publish materials needed for annual events.
  • Publish ministry specific materials as needed
  • Update web pages and social media content
  • Basic administrative duties including mail retrieval and distribution, connecting with local media, managing office correspondence, and maintaining current files, database and records
  • Recruit, train and coordinate volunteers to assist with administrative duties as needed.
  • Schedule the use of the facility for community events, weddings, funerals, etc...
  • Monitor and purchase basic supplies for the office, kitchen, custodial and worship

Skills

  • Proven experience in office management or administrative roles within a professional office setting.
  • Strong ability to coordinate multiple activities simultaneously.
  • Excellent communication skills—both verbal and written—and phone etiquette for engaging with members, vendors, and staff.
  • Exceptional organizational skills with keen attention to detail for maintaining accurate records and managing schedules effectively.
  • Familiarity with church office management practices is a plus but not required.
