About The Role
We are looking for an organized, proactive, and detail-oriented Operations Coordinator to support our workplace, people, and administrative operations. Reporting to the Operations Manager, you will serve as the first point of contact for our Oakland headquarters, maintain smooth day-to-day office and workplace operations, champion a positive and inclusive team experience, and support hiring and onboarding for our growing team. This is an in-person role at our Oakland headquarters. It is ideal for someone eager to learn startup operations, wear multiple hats, and support our team in delivering impactful climate solutions faster.
The salary range for this full-time position is $70,000 - $90,000 plus stock options and benefits. Pay within the range is based on candidate experience, job-specific skills, education, and work location. The target experience for the position is 1-3+ years in administrative support, office coordination, or startup operations.
RESPONSIBILITIES
Office & Workplace Operations
  • Serve as the primary point of contact for general office requests and inquiries, incoming calls, and facilities issues; route or escalate to the Operations Manager as needed.
  • Own office and kitchen supplies, snacks, and amenities, including tracking inventory, placing orders, and receiving deliveries; organize and track lunch deliveries.
  • Manage office services, such as janitorial service and coordination with property management regarding established services.
  • Maintain organized physical and digital filing systems for facilities, office documentation, and vendor records.
  • Support logistics for office reconfigurations and expansions and workplace safety initiatives.

Administrative Support
  • Assist with purchasing for team members and tracking receipts.
  • Maintain NDA log, including visitor NDAs.
  • Issue Certificates of Insurance (COI) to vendors and customers as requested.

People Operations & Hiring Support
  • Support recruiting and hiring efforts by scheduling interviews and coordinating travel arrangements for candidates.
  • Prepare and route offer letters through DocuSign for new hires in coordination with CEO and Head of Finance.
  • Complete employee onboarding and offboarding tasks and own onboarding experience to ensure a welcoming experience for all new hires.
  • Organize team events, offsites, meet-ups, and branded company gifts to promote a cohesive company culture.

QUALIFICATIONS
  • 1+ years of experience in administrative support, office coordination, people operations, or equivalent operations coordination.
  • Demonstrated track record of organization, extreme attention to detail, project management, and ability to execute independently.
  • Positive, can-do attitude with a bias towards action, hands-on aptitude, and resourcefulness.
  • Excellent written and verbal communication skills across internal and external channels.
  • Tech-savvy and adept with tools like Google Workspace, Confluence, Applicant Tracking Systems (ATS), and accounting software like QuickBooks.
  • Desire to be full-time in person at our Oakland headquarters.
  • High integrity with a passion for building inclusive candidate and employee experiences.

PREFERRED QUALIFICATIONS
  • Professional experience preferably in a startup or fast-paced environment.
  • Experience with streamlining operational processes with tools such as Google Apps Script and Claude AI.
