Job description

Job Title: Music Equipment & Score Library ("E-Libe") Supervisor
Department: Music
Classification: Non-Exempt
Grade: 9
FTE/Working Schedule: 0.50 FTE (up to 20 hours per week)

Position Overview:

The Music Equipment & Score Library ("E-Libe") Supervisor manages the Music Department's extensive inventory of instruments and performance equipment, ranging from early music collections to the instruments and equipment used by our major ensembles. This role facilitates daily operations by overseeing the circulation of scores and parts, providing essential supplies to students and faculty, and maintaining the department's digital presence as webmaster.

Compensation:
The expected hourly rate for this position is $26.50.

Essential Job Functions/Responsibilities:

Instrument & Inventory Management:

  • Oversee the inventory, checkout, and check-in of all department instruments and musical equipment. Manage the distribution of essential supplies (reeds, strings, mutes) and other performance equipment (concert attire, amplifiers, stands). Coordinate regular maintenance and professional repairs for college-owned instruments.

Performance Library & Circulation:

  • Manage the acquisition and circulation of the materials in the performance music library, including scores and parts for Orchestra, Band, Jazz, and Choir. Utilize an online checkout system (WebCheckout) to track items and ensure the collection is organized and accessible for ensemble directors.

Departmental Digital Presence:

  • Serve as the Music Department Webmaster. Update and manage website content via WordPress, ensuring information regarding lessons, ensemble auditions, and academic resources is current. Archive and post digital performance media, including images and video.

Student Worker Supervision:

  • Recruit, hire, and train 4-6 student workers per term. Provide scheduling and daily oversight for student staff who assist with equipment, music circulation, and who provide critical logistical support during ensemble rehearsals.

Staff & Faculty Liaison:

  • Collaborate closely with the Department Chair, Performance Activities Office, Ensemble Directors, and applied area heads to meet specific logistical needs for all areas of applied music instruction and performance.

Administrative Record Keeping:

  • Maintain accurate records of the instrument collections using core office software (Google Workspace, Excel). Track supplies inventory, manage storage solutions for both college and student-owned instruments.

Supervision Received and Exercised:

  • The E-libe Supervisor reports to the Music Department Chair

  • The E-libe Supervisor also coordinates with the Music Department Administrative Assistant, the Performance Activities Coordinator, Ensemble Directors (Band, Orchestra, Choir, Jazz Band, and Chinese Music Ensemble), and applied area heads (Winds & Brass, Strings, and Keyboards).

  • The E-libe supervisor manages 4-6 student workers

Education/Experience/Skills:

Required:

  • Associate Degree (note: need not be in music or a music-related field)

  • 1 or more years of full-time professional related experience

  • Strong organizational skills and attention to detail

  • Experience with core office software (word processing, spreadsheets, websites, etc.)

  • Ability to learn new technology/software quickly

  • Ability to research/find information regarding musical scores, instruments, and equipment

  • Ability to communicate effectively with student workers, faculty, and staff

  • Formal or informal background in music (i.e., general knowledge of musical genres, instruments, and styles).

Preferred:

  • Bachelor's degree (note: need not be in music or a related field)

  • Experience with inventory management

  • Previous experience with Excel, WebCheckout, WordPress, and/or GoogleSuites

  • Experience managing undergraduate student workers

  • Ability to read music and familiarity with classical instrumental repertoire

Must have the ability to understand and follow written and oral work instructions, operations, safety procedures, and hazardous labels.
