Home Care Scheduling Coordinator Senior Helpers of Grand Rapids | Grand Rapids, MI $18 to $20/hour | Full Time
Objective The Scheduling Coordinator is responsible for coordinating and managing caregiver schedules to ensure each client's needs are consistently met. This role requires timely communication, strong organizational skills, and a calm approach to problem solving in a fast paced home care environment.
Reports to: Care Team Manager or Owner
Schedule: Monday through Friday, 7:00 AM to 3:00 PM with participation in the on call rotation for after hours and weekend urgent coverage.
Compensation: $18.00 to $20.00 per hour based on experience with a 90 day performance review and potential increase.
Primary Responsibilities
  • Scheduling and Coordination Own the daily scheduling function for all active clients and caregivers using WellSky. Match caregivers to clients based on care plan information and maintain appropriate gross profit margin for each case. Ensure the company schedule is completed three days in advance of all scheduled shifts.
  • Callout and Coverage Management Respond promptly to callouts, scheduling conflicts, and emergencies. Coordinate shift backfill activities and cover caregiver shifts in the field as needed to ensure client care continuity.
  • Communication Communicate any caregiver or schedule changes to clients and families in a timely and professional manner. Act as the primary point of contact for client families regarding staffing schedules. Maintain excellent rapport with both clients and caregivers.
  • Documentation and Compliance Track and record all callouts, assignment refusals, late arrivals, and early departures in WellSky. Maintain caregiver files and monitor expiration of licensing, insurance, and required documentation. Audit timecards regularly to ensure hours match scheduled hours.
  • On Call Participate in the on call rotation averaging two weeks per month. Must be reachable for urgent coverage needs outside of standard office hours including evenings and weekends.

Qualifications
High school diploma or equivalent required, associate degree preferred. Minimum one year in a staffing, scheduling, or logistics role. Home care experience required. WellSky scheduling software experience required. Excellent organizational and communication skills. Calm under pressure with strong problem solving ability. Comfortable with early morning starts and on call responsibilities. Must hold or be willing to cover shifts in the field as needed. Genuine passion for serving seniors and their families.
