The Supervisor, Scheduling serves as the scheduling subject matter expert and works cross-functionally with interdisciplinary care teams, providers, and leadership to ensure accurate scheduling workflows and exceptional customer service.

On the day-to-day, you will:

  • Provide operational oversight and ensuretimely and accurate scheduling of participant appointments in alignment with WelbeHealth's scheduling protocols
  • Assist with troubleshooting complex or urgent scheduling issues and resolve escalations promptly, serving as the point of contact for escalated scheduling inquiries with internal staff, external entities, and participants
  • Ensure quality assurance byreviewing and auditing scheduling data for accuracy, completeness, and compliance
  • Participate in administrative and compliance taskswith the objective of ensuring scheduling operations comply with policies, procedures, and regulatory requirements 
  • Provide leadership and team management support by directly supervising and supporting the Scheduling Specialists and Onsite Specialty Scheduler, providing coaching, mentorship, and daily oversight of scheduling activities andworkflows
  • Monitor team productivity, accuracy, and adherence to scheduling policies andperformance standards
  • Reinforce WelbeHealth's commitment to exceptional customer service by ensuring communication with participants, their families, providers, and team members is professional, timely, and empathetic

Job requirements include:

  • High school diploma or equivalency required; associate or bachelor's degree in healthcare administration or operations management preferred
  • Minimum of two (2) years of experience in healthcare scheduling or operations
  • Minimum of two (2) years of experience working in a supervisory position with demonstrated ability to mentor and develop team members preferred
  • Minimum of one (1) year of experience working with Electronic Medical Records (EMR) and scheduling/communication platforms required
  • Experience leading in a data-driven organization, leveraging reports and data to prioritize and manage people and projects
  • Strong leadership skills with a proven ability to coach, motivate, and develop high-performing teams
