Role Mission:
The Operations Associate is responsible for supporting the Operations team with all school-based matters that do not directly relate to instruction. In this role, you will work alongside front office staff and Operations Fellows, with the coaching and support of the Assistant Principal of Operations (APO) to execute daily operations systems and ensure that the daily functioning of the school reinforces VCP's mission.
Your impact:
Student Operations
  • Support the preparation of campus for start-up/new school year by helping order furniture, equipment, and classroom supplies as well as ensuring that school services (i.e., student food services, student transportation services), are prepared to run smoothly starting on the first day of school;
  • Working with the APO, manage instructional and office supply procurement to ensure that all materials are in stock and teacher requests are fulfilled, while tracking expenditures;
  • Support coordination with food services to ensure on-time meals, availability for field trips, and compliance with federal food regulations, including sanitation standards;
  • Manage school student information database system and generate reports as needed by the teaching staff, the school Leadership Team, and Network Support Team members;
  • Support the creation and distribution of report cards and manages parent teacher conferences;
  • Support the maintenance of accurate student records, including, but not limited to, student attendance, and residency information;
  • Support attendance systems to ensure students are arriving to school, on-time, every day;
  • Support management of all student medical/allergy information and the administration of medicine;
  • With support from the APO and Network Support Team, ensure compliance with all state, federal, and local employment laws and policies;
  • Support management of school vendors (enrichment providers, janitorial services, landscaping, plumbing, etc.) to ensure tasks are completed to meet the needs of our facility and school community;

Parent and Family Engagement/Student Recruitment
  • Support student enrollment activities and, as required, lead the enrollment process by working with the school leadership, teachers, and administrative team to meet enrollment targets;
  • Correspond regularly with families regarding school policies, trips, events, and milestones;
  • Support the organization and facilitation of orientation for new and returning families, including organizing and arranging home-visits at the start of every year;
  • Support logistics for school-wide events including family academic nights, field trips, vision tests, school picture days, permits, school calendar, and immunizations shots;
  • Respond to family concerns promptly and effectively;

Facility
  • Respond to facility-related requests and alerts in a timely manner;
  • Execute daily building walk-throughs to ensure safety, efficiency, and organization;
  • Ensure that the school is neat, clean, and that minor repairs are done quickly;
  • Ensure curricular materials, furniture, and equipment are properly stored and accessible when needed;
  • Work with appropriate staff to ensure hallway and general facility decorations (especially posted student work) are updated and maintained regularly;

Transportation
  • Support APO and Operations Team members with management of transportation company and systems;
  • Help ensure proper distribution of schedules, routes, and other information to schools, and parents;
  • Coordinate with Manager of Community Engagement to schedule field trip transportation as needed;

Scheduling
  • Support systems for coverage when staff members are and collaborate with the Principal and APO to ensure all classrooms, systems, etc. function effectively in the event of staff absences;
  • Assist in scheduling family-teacher conferences, family events and special schedules for Interim Assessments and state-wide standardized tests;
