Title: Order Entry & Scheduling Coordinator
Reports to: Centralized Services Supervisor

FLSA Status: Hourly, Non-Exempt
Department: Office

Summary:

The Order Entry & Scheduling Coordinator keeps truss orders accurate, organized, and on schedule. This role converts approved quotes to orders, maintains delivery dates and order records, and communicates updates across Operations, location teams, customers, and Centralized Services. The ideal candidate is detail-oriented, responsive, and comfortable managing time-sensitive requests in a fast-paced environment.

Job Duties:

Order Entry & Maintenance

  • Monitor internal communications for sold jobs that are ready to be converted from quotes to orders.
  • Convert approved quotes to orders in the applicable system, verifying information for accuracy and completeness.
  • Monitor requests for new delivery dates and update active orders promptly and accurately.
  • Process delivery-date change requests and communicate updates to the appropriate stakeholders.

Scheduling Coordination

  • Maintain current, actionable job and delivery schedule information in MiTek.
  • Coordinate with location and Operations personnel when a job is not delivered as scheduled, following the centralized delivery scheduling process.
  • Communicate schedule changes, delivery exceptions, and documentation gaps promptly to the appropriate stakeholders.
  • Follow up on open items so jobs progress from scheduling through delivery without avoidable delays

Service, Documentation, and Process Compliance

  • Maintain accurate electronic records that support customer service, issue resolution, and operational reporting.
  • Respond professionally to questions from location teams and escalate unresolved issues to the appropriate manager or process owner.
  • Follow established SOPs and internal controls for order creation, scheduling, and documentation.
  • Identify practical process improvements that strengthen accuracy, visibility, consistency, and turnaround time

Qualifications & Requirements:

  • High school diploma or equivalent.
  • Experience in order entry, scheduling, administrative coordination, customer service, or a related operations role.
  • Strong data-entry accuracy, organizational skills, and attention to detail.
  • Ability to manage multiple priorities, follow documented processes, and meet time-sensitive deadlines.
  • Clear written and verbal communication skills and the judgment to escalate discrepancies appropriately.
  • Working knowledge of Microsoft Office and the ability to learn new business systems.
  • Experience with BisTrack, MiTek, ERP or order-management software, or delivery scheduling systems.
  • Experience in building materials, manufacturing, construction supply, truss operations, logistics, or a multi-location environment.
  • Familiarity with quotes, sales orders, delivery documentation, and order-processing workflows.


Work Environment

The employee is regularly required to communicate verbally and hear clearly. Frequent physical activities include standing, walking, sitting, and using hands and arms to perform job-related tasks. The employee may occasionally be required to climb, balance, stoop, kneel, crouch, or crawl, and must occasionally lift and/or move up to 80 pounds. The employee may be exposed to outdoor weather conditions and moving mechanical equipment on an occasional basis. The noise level in the work environment is typically loud.
