Administrative Assistant

Location: Albany, NY and Boston, MA (100% in the office)

The Immigration Attorneys at Harris Beach Murtha are searching for an Administrative Assistant. This talented individual will be responsible for performing legal, clerical and secretarial duties as required. This may include, but is not limited to, transcribing and typing correspondence, memoranda, project work, proofreading and ensuring quality of legal documents. You will thrive in this role if you have:

  • 2+ years of experience as a legal administrative assistant
  • Experience in/with business immigration (preferred)
  • High school diploma or equivalent; associate's degree (preferred)
  • Exceptional oral and written communication, and organizational skills
  • Superior client service and listening skills for anticipating needs of clients and attorneys
  • Proficiency with MS Office, including Word, Outlook and Excel, and able to efficiently use technology resources

The Administrative Assistant will keep cases organized by establishing and organizing files; monitoring calendars; meeting deadlines; documenting actions; inputting information into file database and case management software; and confirming case status with attorney. Do you have the drive and desire to:

  • Assist with nonimmigrant and immigrant visa filings, organizing exhibits
  • Assist paralegals with preparation and filing of immigration petitions
  • Collect information and documentation from clients, including initial screening of "cold calls" and client referrals
  • Assist partners and attorneys in drafting client engagement letters
  • Write, proofread, send, file and manage correspondence, memos, pleadings, contracts, forms, indices and other related documents
  • Keep clients informed by maintaining contact; communicating case progress
  • Enter conflict information into the system for the purpose of running conflict checks for new clients
  • Assist with opening new matters and maintaining files
  • Coordinate mass mailings, including filings with local, state and federal courts and agencies
  • Type from draft, oral dictation, or recordings, a variety of correspondence and legal documents such as resolutions, opinions, contracts, briefs, leases and agreements
  • Coordinate travel arrangements, securing air, hotel and car plans for attorney and clients
  • Process invoices and attorney expense reimbursement requests
  • Assemble document packages including copying, tabbing and scanning
  • Assist with other duties as needed

Salary information will vary depending upon relevant experience for the position, geographic locations and weekly hours schedule. The anticipated weekly schedule for the Administrative Assistant in Albany is 37.5 hours per week. The anticipated weekly schedule for the Administrative Assistant in Boston is 35 hours per week.
