Position Overview:
The Orthodontic Treatment Coordinator serves as a key liaison and guide for patients from their initial consultation through the start of orthodontic treatment. This role ensures a smooth and supportive experience by coordinating all aspects of the new patient process. Responsibilities include managing patient flow, communicating with the orthodontist and front office team, notifying insurance coordinator to verify benefits, and assisting patients or guardians in understanding treatment plans and financial options using SymplConsult. The Treatment Coordinator also facilitates contract signing and thoroughly explains the treatment journey, ensuring patients feel informed and confident.
Key Responsibilities:
Patient & Clinical Support
  • Greet and assist patients, collecting and accurately recording medical history prior to examination.
  • Prepare exam rooms and ensure OSHA compliance by sterilizing instruments and maintaining cleanliness per infection control and biohazard standards.
  • Assist the orthodontist by sharing the patient's chief concerns prior to consultation.
  • Perform diagnostic imaging including panoramic and cephalometric X-rays and iTero scans.
  • Communicate with patients and guardians to explain treatment recommendations and address questions after the orthodontist's consultation.

Administrative & Coordination Duties
  • Schedule appointments, input patient information, and scan required documentation (e.g., referrals, new patient forms)
  • Coordinate benefit verification by notifying the insurance team.
  • Prepare treatment contracts and payment plans using SymplConsult.
  • Record doctor notes, treatment plans, and progress accurately in Cloud9 software.
  • Track daily patient statues and contract starts, maintaining updated reports in SharePoint and submitting totals at the end of the day.
  • Maintain inventory and ensure proper functionality of all instruments and equipment.

Patient Experience
  • Deliver outstanding customer service and patient care throughout each visit.
  • Provide ongoing support, education, and guidance to patients throughout the orthodontic process.
  • Build trust and confidence by maintaining professional, empathetic, and knowledgeable presence.
  • Other duties as assigned

Qualifications:
  • 1+ years of experience in orthodontic or dental setting
  • At least 3 years of customer service experience in a patient or client role
  • Working knowledge of orthodontic terminology and procedures with the ability to educate and guardians effectively
  • Comfortable discussing treatment plans, payment options, contracts, and patient account ledgers with clarity and empathy.
  • Strong verbal and written communication skills for interacting with patients, office staff, and insurance providers
  • Proficient in basic computer functions, including Microsoft Excel, Outlook, and dental/orthodontic software systems
  • Strong organizational and multitasking skills to handle multiple claims and tasks simultaneously
  • Knowledge of and compliance with HIPAA, OSHA, and infection control standards
