SUPERVISORY RESPONSIBILITIES: None

SUMMARY: The Commercial Operations Specialist serves as a subject-matter resource on consumer and commercial lending laws, as well as related Bank policies and procedures. This role works closely with Commercial Administrative Analysts, Commercial Banking Administrative Specialists, Commercial Bankers, Business Bankers, the SBA team, the Director of Syndications & Participations, and the Residential Construction Lending Officer to support accurate and timely loan monitoring. Key areas of responsibility include monitoring loans in process, tracking fees collected, reviewing exceptions, and managing withdrawn, denied, or incomplete loan requests.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Guest Service and Relationship Management

  • Provide the highest level of quality service to guests by completing requested services and transactions in a friendly, positive, and professional manner. Use the guest's name whenever appropriate and strive to create a hospitality-focused experience in every interaction.
  • Build rapport with guests by identifying their needs, recommending appropriate solutions, explaining available options, handling objections, and asking for their business. Maintain a strong understanding of Bank products and services in order to interpret and present them effectively.

Loan File and Documentation Management

  • Ensure each loan file is current and fully documented whenever it is accessed, including for renewals, modifications, insurance letters, customer inquiries, and other related needs.
  • Monitor Abrigo for withdrawn, denied, and incomplete loan requests, with a primary focus on SBA requests and support for Commercial and Business Banking requests as needed. Review files to confirm documentation is accurate and complete.
  • Scan and import documents into Image Center as needed.

C&I Lending, Residential Construction, Syndications, and Participations Support

  • Prepare reports for the Residential Construction Lending Officer and provide administrative specialist support as needed. Responsibilities may include entering new clients into the loan origination system, ordering, reviewing, and processing loan documents that fall outside the construction services area, following up on required financials, and clearing document exceptions.
  • Support the Director of Syndications and Participations with new and renewed syndicated and participated loans from approval through closing and funding. Coordinate with Commercial Administrative Specialists to obtain required financial information, distribute ongoing financial reporting to participant banks, maintain participation records, communicate with participant banks as needed, track reporting requirements, and assist with the ongoing servicing of the participation portfolio.

Exception, Tickler, and Administrative Support

  • Lead the collection of documentation from the Administrative Specialist and Lending teams to create "Clear a Tickler" workflows in Abrigo and support timely clearing of document and Final Title Policy exceptions.
  • Serve as backup to the Commercial Administration Analyst by working with the Commercial Administrative Specialist and Lending teams to clear financial exceptions from Abrigo and file documents into Image Center.
  • Support C&I Lenders and Administrative Specialists with C&I Portfolio Management by processing collateral additions and releases, maintaining collateral tracking spreadsheets and inventory logs, reconciling inventory records, and ensuring collateral information is accurate and up to date. Work directly with the borrower to free up lender time.
  • Support the Fort Wayne Commercial team with floor plan lending by processing collateral additions and releases, maintaining collateral tracking spreadsheets and inventory logs, reconciling inventory records, and ensuring collateral information is accurate and up to date. Procedures, Team Support, and Professional Development

  • Work with the Supervisor and Training Division to ensure Commercial Banking procedures remain current.
  • Provide assistance to Commercial Banking offices as needed. Some travel may be required.
  • Attend seminars, AIB classes, and other educational opportunities to stay informed of changes in laws and regulations related to commercial lending.
  • Other Duties & Responsibilities: Work on special projects as needed.

Knowledge, Skills, and Abilities Required for this position:

  • Strong attention to detail
  • Highly organized with the ability to multi-task
  • Excellent communication and customer service skills
  • Knowledge of loan scoring software and loan documentation software are preferred.
  • Knowledge of Microsoft Word, Excel and Outlook are required.

Minimum Qualifications:

  • High School Diploma
  • 2+ years' experience in banking, operations, or a service-related role required
  • 3-5 Years of banking experience with commercial lending preferred
