Position Summary

All Year Cooling and Plumbing is seeking a detail-oriented Permit Coordinator to join our Coral Springs team. This role is responsible for coordinating the permit process for HVAC and plumbing projects, ensuring required documentation is complete and accurate, tracking permits and inspections, and maintaining effective communication with municipal authorities, customers, and internal teams.

Key Responsibilities
  • Permit Management: Prepare, assemble, and submit permit applications and supporting documentation for HVAC and plumbing installations, modifications, and repairs.
  • Process Monitoring: Track permit applications throughout the review and approval process and coordinate with applicable municipal authorities.
  • Inspection Coordination: Schedule and monitor inspections, maintain accurate inspection records, and communicate status updates to customers and internal teams.
  • Compliance Verification: Review permit requirements and documentation to help ensure applicable requirements are satisfied before submission and closeout.
  • Regulatory Knowledge: Maintain working knowledge of applicable building codes, municipal permit procedures, and regulatory requirements related to HVAC and plumbing work.
  • Customer Service: Provide professional and responsive communication regarding permit status, documentation requirements, inspections, and anticipated timelines.
  • Documentation: Maintain accurate and organized permit, inspection, and project records in accordance with company procedures.
  • Quality Assurance: Review applications and supporting documentation for completeness and accuracy before submission.
  • Team Support: Assist with department objectives and perform other related duties as assigned.
Qualifications amp; Requirements

Required Qualifications

  • Experience with permit coordination, construction administration, or a related function; HVAC and/or plumbing industry experience preferred.
  • Proficiency with Microsoft Office, including Outlook and Excel, and the ability to learn and navigate web-based permitting systems.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent attention to detail and ability to manage multiple permits and deadlines simultaneously.
  • Professional written and verbal communication skills.
  • Strong customer service skills and ability to work effectively with customers, coworkers, contractors, and municipal personnel.
  • Ability to work independently while contributing effectively as part of a team.
  • Ability to reliably work the scheduled hours and maintain regular attendance.

Preferred Qualifications

  • Knowledge of Florida building codes and municipal permitting processes.
  • Experience with permit tracking software, databases, or electronic permitting systems.
  • Familiarity with HVAC and plumbing systems, terminology, and project documentation.
