Sanctuary Recovery Centers is seeking a reliable, organized, and professional Front Desk Assistant to serve as the first point of contact for clients, visitors, and staff. This role is critical in maintaining a welcoming, structured, and compliant front office environment within our behavioral health setting.


Position Overview

The Front Desk Assistant is responsible for managing daily front office operations, supporting administrative functions, and ensuring a positive experience for clients and visitors. This role requires strong organizational skills, professionalism, and the ability to handle sensitive information with confidentiality.


Key ResponsibilitiesFront Desk & Client Interaction
  • Greet and check in clients, visitors, and vendors in a professional and welcoming manner
  • Answer and direct incoming phone calls promptly and accurately
  • Maintain a clean, organized, and secure reception area
  • Monitor facility entry/exit and ensure adherence to safety and confidentiality protocols
Administrative Support
  • Schedule appointments and assist with calendar coordination
  • Maintain accurate records and assist with data entry in EMR/EHR systems
  • Scan, file, and organize documents in accordance with agency standards
  • Support intake and admissions processes as needed
  • Assist with coordinating client paperwork and required documentation
Communication & Coordination
  • Provide clear communication between clinical, administrative, and leadership staff
  • Assist with internal communication and message distribution
  • Support coordination of meetings and office logistics
Compliance & Confidentiality
  • Maintain HIPAA compliance and protect all client information
  • Ensure documentation and administrative processes meet organizational and regulatory requirements
  • Follow all Sanctuary Recovery Centers policies and procedures

Minimum Qualifications
  • High school diploma or GED required
  • Previous front desk, receptionist, or administrative experience preferred
  • Experience in healthcare or behavioral health setting is a plus
  • Strong computer skills (Microsoft Office, email systems, data entry)
  • Ability to multitask and manage a high-volume front desk
