Virbac is seeking a meticulous Sales Support Associate Manager to join our Commercial Operations team. Reporting to the Sales Support Manager, this role is a hybrid of rigorous operational execution and process optimization. This role requires a disciplined "auditor" mindset to handle the daily volume of commercial data, combined with the technical acumen to modernize how that data is managed.
The majority of the position's time is spent within the core execution of commercial programs. Primary responsibilities include the validation and processing of distributor free goods and margin reimbursements, reviewing promotional program requirements and communications, and management of requests for non-standard product samples. Success in this position requires a "zero-error" mindset toward data processing and a steadfast commitment to meeting deadlines that directly impact internal and external sales partners.
Beyond daily operational processing, this role serves as a technical resource for the team's internal workflows. Operating within a hybrid environment of Excel and Google Sheets, the Associate Manager is expected to evaluate manual processes and recommend the most effective technical path forward. This includes building robust VBA-driven tools in Excel for complex data reconciliation or leveraging Apps Script and collaborative features within Google Sheets. The candidate identifies the appropriate solution for each circumstance to transform manual workflows into streamlined, automated processes.
Commercial Operations Department Support
Provide a consistent high level of efficiency and implement scalable, tech-enabled solutions within the Commercial Operations Support Department.
  • Provide high-level operational support for Commercial Operations activities, serving as a technical resource for the team
  • Evaluate and optimize standard operating procedures to increase team-wide productivity
  • Provide cross-functional backup for personnel, ensuring business continuity through documented, standardized workflows

Product Sample Approval & Coordination

Returned Product Credits
Process accurate and timely credit requests to our distributor partners and other customers.
  • Prepare and validate documentation for credit requests according to established guidelines
  • Submit completed requests to Order Management for credit input
  • Troubleshoot issues with Order Management and ensure timely credit input
  • Maintain a digitized audit trail of all requested and processed credits

Distributor Free Good Credits and Margin Reimbursements
Manage free good credits and margin reimbursements.
  • Reconcile free goods requests against sales data, invoices, and excel reports
  • Prepare and process documentation for distributor free goods requests
  • Monitor and process margin/pricing reimbursement requests within established timelines
  • Audit and complete reimbursements per individual program guidelines
  • Identify discrepancies or denials through systematic data validation and resolve issues directly with distributor partners
  • Optimize the end-to-end approval cycle

National Accounts and Strategic Accounts Check Requests
Provide accurate and timely processing of check requests for National and Strategic Accounts.
  • Ensure all backup documents are included and meets auditing standards
  • Approve requests and record payments correctly for accounting tracking

Sales and Marketing Promotions and Programs Governance, Documentation, and Communication
Support the integrity of Virbac programs and promotions by coordinating governing documents.
  • Review, route, and approve various materials for Sales and Marketing promotions and programs
  • Ensure compliance with SOPs
  • Manage program documentation and maintain communication lists for distribution
  • Enable timely distribution of critical internal and external communications

Education and Experience:
  • Bachelor's Degree Preferred but Not Required, or Equivalent Experience
  • Excel Legacy Support: Advanced experience working with Excel for data cleaning/auditing. Ability to use VBA or Power Query
  • Proficiency in Google Sheets, including advanced formulas (QUERY, ARRAYFORMULA, VLOOKUP) and an interest/ability in using Google Apps Script (JavaScript-based) to automate sheet functions.
  • Demonstrated experience in taking data from one format (CSV/Excel) and structuring it for collaborative use in another (Google Sheets).
